RECORDS COMPLIANCE SPECIALIST

The Records Compliance Specialist supports the Custodian of Records and the Records Compliance Officer with all internal and external records requests.

ESSENTIAL FUNCTIONS:

Incumbent must achieve the following outcomes with or without reasonable accommodation:
  • Provide a general overview/understanding of district policies and protocols as they pertain to records
  • Research student databases to identify precise records sought
  • Use department points of contact to coordinate the processing of requests
  • Process and direct requests to appropriate departments, schools or outside entities
  • Assist with follow-up as needed to ensure timely completion, compliance with legal requirements, and confidentiality
  • Review and redact records as needed
  • Maintain official log of each request and responses
  • Assist with Student Records request in accordance with with privacy and public records laws including the New Mexico's Inspection of Public Records Act, the federal Family Educational Rights and Privacy Act
  • Assist with all Deferred Action for Early Childhood Arrival (DACA) requests
  • Assist with New Mexico Real ID requests

PREFERRED KNOWLEDGE, SKILLS, ABILITIES AND EXPERIENCE:
  • Effective communication skills, both verbal and written, including clear demonstration of tone and styles with platforms and audience in mind
  • Flexible
  • Ability to use tact, diplomacy, discretion and good judgment
  • Bilingual in Spanish
  • Knowledge of APS schools, departments and community
  • Reliable and trustworthy
  • Detail oriented
  • Proven ability to meet deadlines and work on multiple projects
  • Knowledge of APS computer systems, financial and legal requirements.

REQUIREMENTS:
  • High School diploma or equivalent
  • A minimum of two years of experience in records management, preferably for public institutions and agencies, or comparable experience
  • Valid New Mexico driver's license with insurable driving record
  • Strong written and verbal communications skills
  • Exceptional organizational skills
  • Strong decision-making and problem-solving skills
  • Ability to communicate with a diverse population in person, on the telephone and through email
  • Proofreading and editing skills
