Description: Job Summary:

To ensure accurate and timely coding of assigned employee timecards using a variety of reporting systems while following labor contracts, Kaiser policies and existing laws.

Essential Responsibilities:

  • Process timecards bi-weekly to ensure accurate coding for assigned employees.

  • Applies documented labor codes to correct departments.

  • Follows contract language and applies the correct pay practices.

  • Advises management on appropriate timekeeping practices based on the payroll status of the employee.

  • Works with designated leaders to resolve employees timekeeping discrepancies.

  • Assists in clarifying payroll policy and procedure when it is absent from contract language.

  • Audits, and validates timecard data against multiple reporting systems to ensure all information is accurate.

  • Resource for designated timekeeping program; participates in timekeeping in-services/training of staff and designated leaders, and act as timekeeping program super-users for region.

  • Timekeepers are a resource to designated leaders, and employees (as directed), serviced by the regional staffing office for time keeping questions, clarification, and education.

  • Process, track and validate through comparison and investigation; all manually reported information.

  • Work with appropriate level of management to correctly apply sick leave codes.

  • Tracks PSL eligibility and usage in conjunction with contract language and KP policies to stay compliant with Oregon sick leave laws.

  • Research, validate and, process prior pay period adjustments including negative adjustments

  • Receives, and responds to emails daily.

  • Timekeepers are responsible for requesting any additional information as necessary to complete the timecard or prior pay period adjustment.

  • Timekeepers are responsible for reporting patterns of misuse of the timekeeping system/process to the designated leader.

  • Analyzes, prepares, and inputs payroll data for union employees timekeeping as assigned.

  • Utilizes automated timekeeping system to produce accurate and timely payroll.

  • Produce reports as directed by supervisor/manager.

  • Partners with National Timekeeping and leave management vendor for proper timecard coding.

  • Ensures differentials are coded according to contract. May need to escalate to National to record on the backside of timecard.

  • Collects data for potential grievances as directed by supervisor/manager.

  • Submit electronic TIME Employee Add/Change Form as needed.

  • Following current Union guidelines and contract changes to ensure correct coding of timecards.

  • Oversees diverse and complex work status changes, work patterns, FTEs, and employee groups in designated timekeeping systems.

  • Act as support/subject matter expert to designated leaders.

  • The NW Regional Payroll/Timekeeping will train new NW Regional Staffing/timekeeping employees.

  • All other duties as assigned that are consistent with the NW Regional Payroll/Time Specialist job scope.
Basic Qualifications:
Experience

  • Minimum two (2) years of experience in timekeeping/payroll and/or staffing within last 5 years.

  • Minimum two (2) years experience in general office procedures.

  • Per the National Agreement, current KP Coalition employees have this experience requirement waived.

  • Ability to prioritize and manage multiple tasks and conflicting demands for service simultaneously.
  • Ability to make and communicate decisions and act in high-pressure situations with tact,
  • diplomacy, and respect.
  • Ability to access and use various data sources simultaneously.
  • Effective communication skills in person or via approved technology.
  • Able to read/write/speak English fluently.
  • Understand military time.
  • Excellent analytical and problem-solving skills.
Preferred Qualifications:

  • Work in a Union environment.
  • Working knowledge of Kaiser Permanente.
  • Math/accounting skills.
  • Ability to read and understand Union Contracts.
  • Timekeeping System Knowledge.
  • Associate Degree or three (3) years comparable timekeeping/payroll experience which demonstrates the ability to perform the duties as described (ie: accounting, math or related subjects: payroll processing).
