MedStar Health Research Institute has an immediate opportunity for a Research Administrative Assistant / Project Coordinator to join our team. This is a hybrid position so candidates must be local to the Washington, DC area.

Works in a fast-paced research scientific center and assists in the areas of regulatory, contracts and finance for research projects. Responsibilities include timely and accurate routing, tracking and processing of regulatory documents, coordination of the routing contracts, check request vouchers, and interdepartmental transfers across the system.

Education
  • High School Diploma, GED or equivalent required
  • Associate's degree in related field preferred
Experience
  • 7 years of applicable experience in administrative training preferably office coordination positions required
  • Prior experience working in a research setting preferred
Knowledge, Skills, and Abilities
  • Excellent typing skills.
  • Must have working knowledge of various computer software applications, particularly Microsoft Outlook, Word and Excel.
  • Must have exceptional interpersonal skills and be willing to be a team player on a variety of levels with a variety of associates, consultants and vendors.
  • Must have excellent verbal, written and communication skills.
  • Assists with on-boarding new employees into the system by processing appropriate paperwork, ordering essential technology and working with directors and managers to ensure that new employee has completed all mandatory paperwork and tasks prior to beginning their work within the department.
  • Coordinates all arrangements for internal and external meetings, conferences, committee meetings and others as requested by the directors and managers that includes coordinating schedules for all members involved.
  • Maintains the calendar of all immediate superiors (AVP, Directors and Manager) and schedules meetings as requested.
  • Maintains filing system for research project protocols and management regulatory database as appropriate.
  • Receives and processes accounts payable invoices, check requests, expense reports and purchase orders for Department/Scientific Center and consultants/vendors. Follows-up and tracks as necessary.
  • Assists with correspondence from sponsors, investigators, hospital leaders to ensure all pertinent research documentation (e.g. regulatory, contract, budget, billing) is sent and/or received throughout the duration of the study as applicable.
