The New Mexico Department of Transportation (NMDOT) provides a safe and reliable transportation system across New Mexico for the traveling public.

The Records and Information Management Section (RIMS) of the NMDOT is responsible for the management of all NMDOT records and for responding to IPRA and other records requests.

Why does the job exist?

The position manages all records, including the Records and Archives and Document Control units within the NMDOT Records and Information Management Section (RIMS) is responsible for management of up to seven RIMS employees, including supervision, evaluations and time approvals.

This position is responsible for compliance with and implementation of all records related laws, regulations, directives, and processes;

This position will provide training presentations to large groups of NMDOT employees throughout the State

This position is responsible for RIMS budget preparation and management;

This position is responsible for collection, processing and release of records responsive to Inspection of Public Records Act (IPRA) requests submitted by the public, law firms, engineers and others; participates as a member of certain Information Technology (IT) project teams; and performs other duties as assigned.

How does it get done?

The Key responsibilities are:

- Supervising up to six RIMS employees, including training, evaluations, and time approvals.

- Complying with and implementing all records related laws, regulations, directives, and processes;
serving as the NMDOT Records Liaison, reviewing and approving retention and disposition activities
for all vital records for the agency.

- Conducting surveys and other evaluations related to records retention and management in order to
assess and revise agency records retention policies and compliance; providing records training to
NMDOT employees throughout the State.

- Preparing and managing the RIMS budget.

- Overseeing the collection, processing and release of records responsive to IPRA requests submitted
by the public, law firms, engineers and others; coordinating with the NMDOT Office of General Counsel
and outside entities concerning compliance with records related legal matters, including litigation discovery
requests, subpoenas, and legal hold notices.

- Participating as a member of certain Information Technology (IT) project teams, as needed.

The New Mexico Department of Transportation, public records requesters, and New Mexican taxpayers.

Ideal Candidate

The ideal candidate will have preferred experience/education in the following areas:

* The ideal candidate will have supervisory and budget management experience.
* Experience with SHARE, IPRA, New Mexico State records retention and disposition policies.

Minimum Qualification

A Bachelor's Degree in any field of study from an accredited college or university and five (5) years of professional level experience operating within parameters and guidelines directly related to the purpose of the position defined by the agency at the time of recruitment. Any required licensure, certification or registration shall be defined at the time of recruitment and will be in addition to the above requirements.

• If Minimum Qualification requires a specific number of "semester hours" in a field (e.g. 6 semester hours in Accounting), applicants MUST have those semester hours in order to meet the minimum qualifications. No substitutions apply for semester hours.

Employment Requirements

Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course certificate from the State of New Mexico or must pass and receive a Defensive Driving Course certificate as a condition of continued employment.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Work also involves lifting of records boxes.
