JOB SUMMARY/ESSENTIAL JOB FUNCTIONS:The Scheduling Clerk coordinates and manages the complex scheduling needs of faculty, residents, patients, and surgical procedures in the Department of Oral and Maxillofacial Surgery. This position ensures all appointments, meetings, and surgeries are efficiently scheduled, and that any conflicts or changes are promptly addressed.

DUTIES AND RESPONSIBILITIES:

  1. Coordinates and manages the scheduling of patient appointments, surgical procedures, and follow-up visits.
  2. Collaborates with residents and faculty to organize their daily, weekly, and monthly schedules, including clinical rotations, academic meetings, and surgical assignments.
  3. Receives and processes referrals from various sources, including email, fax, phone, and internal direct requests.
  4. Enters referral information accurately into the scheduling system, prioritizing based on urgency and coordinates with the appropriate staff to ensure timely follow-up.
  5. Enters new patient demographics into separate billing systems and schedules appointments with appropriate providers.
  6. Manages rescheduling requests from patients, residents, and faculty due to conflicts, cancellations, or other issues.
  7. Communicates any changes promptly to all affected parties.
  8. Prepares patient payment slips and enters treatment costs and payments in separate billing systems.
  9. Adheres to HIPAA guidelines when handling patient information and ensures HIPAA forms are signed in separate billing systems.
  10. Performs other related duties as assigned.


Qualifications:

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of experience in a customer service setting; OR Associate's Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Advanced computer skills.
  • Knowledge of medical and/or dental insurance processes.
  • Effective communication and organizational skills.
  • Ability to multi-task in a fast-paced environment.
