UPMC Your Care is hiring a full-time scheduling coordinator for the team. Shifts are Monday - Friday daylight shift at our Harbor Gardens location.

Schedule member appointments and communicate with members prior to and following receipt of UPMC Your Care visits. Facilitate the enrollment process of other teams by coordinating the enrollment appointments. Maintain member demographics and interact with patients and others (on the telephone and in person) in a courteous and respectful manner.

Responsibilities:
  • Maintain a positive attitude characterized by caring, concern and support for members, visitors, medical staff and co-workers. Demonstrate, on a consistent basis, the behaviors which comprise The Basics of Service Excellence. Schedule all new and returning members with appropriate UPMC Your Care interdisciplinary team members. Request assistance from nurses, APPs and/or MD, if there is a question of severity of illness or symptoms. Oversee the preparation and coordination of all correspondence related to UPMC Your Care visits and referrals. Assure phone contact with members and referring physician/office regarding essential follow up in a timely and professional manner. Function as intermediary and receptionist for the UPMC Your Care program. Respond to requests for general information and screens incoming calls referring them to appropriate individuals. Provide UPMC Your Care office support. Responsible for ordering and managing office supplies inventory. Generate form letter to members.
  • Facilitate the enrollment process of other teams by receiving warm calls and coordinating the enrollment appointments. If necessary, outreach eligible program members to support enrollment process. Call members prior to scheduled visit to confirm availability, minimizing late cancellations or missed appointments. Support any overflow call that UPMC Your Care Command Center may not be able to attend and properly document demographic member information so that UPMC Your Care Command Center may support member needs. Restate member appointment details and collect appropriate pre-visit information, as needed. Answer incoming calls in a timely and efficient manner. Responsible for scheduling of members. Gather and record demographic, financial and insurance information on each patient/family member/guarantor during the initial intake interview which may take place either in person or over the phone. Enter information into the EPIC or EMR system. Complete appropriate forms, consistent with insurance requirements and follows up on any incomplete or inaccessible information to assure a completed record. Provide telephonic assistance to all members and families. Instruct members or family member/significant other concerning available services and programs.
  • Act as a reference for any member questions, handles when possible and follows up to assure that each member inquiry has been satisfied. Demonstrate thorough knowledge of the programs and services of the UPMC Health System and UPMC Health Plan, including the ability to access those services.


Qualifications:

  • B.A. degree and 1 year of experience in a related fiscal/admission/registration function.
  • OR two (2) years of college, business school education, or medical secretary training and one year of experience; or equivalent combination of education and experience required.
  • Knowledge of third-party health care coverage and familiarity with medical terminology are required, including an understanding of Blue Cross, Medicare, Medical Assistance and commercial insurance coverage for hospitalization and outpatient service. Excellent written and verbal communication skills are required. Experience in guest relations is preferred. Experience with computer-based systems preferred. Must function well under stressful conditions.
