The Aging and Long-Term Services Department provides accessible, integrated services to older adults, adults with disabilities, and caregivers to assist them in maintaining their independence, dignity, autonomy, health, safety, and economic well-being, thereby empowering them to live on their own terms in their own communities as productively as possible. Adult Protective Services investigations collect and assesses information to determine whether the reported incident of adult abuse, neglect, exploitation, or self-neglect occurred. Investigations assess the immediate safety of the adult and the ability of the individual to self-protect and/or the caregiver's ability to protect the adult; also, to assess whether the adult remains at risk for continued abuse, neglect, or exploitation and self-neglect. Finally assess the need for services, including short-term protective services.

Why does the job exist?

The primary purpose of this position is to provide clerical support to the Adult Protective Services Division.

How does it get done?

Provide office support in a professional manner and within specified deadlines.

Make folders for new referrals within 2 days of receipt or combine previous case with new referral and distribute to assigned Case Worker.

Retrieve and copy case files immediately when outside agency submits written request.

Stock all printers and copiers with paper on a weekly basis or as needed.

File closed cases in the file room and purge old cases by shredding or readying for archival.

Organize, record, and pack outdated files into boxes for archival on a yearly basis.

Keep On Call bag and binder information, phone numbers, and listings current.

Update Nursing Home and Assisted Living Facility spreadsheet on a monthly basis.

Search Harmony database daily for prior client investigations and note all case numbers in each newly opened case.

Provides Assistance to the Adult Protective Services Division Intake Center

Will receive telephonic and walk-in reports of alleged adult abuse, neglect or exploitation.

Enter reports into the APSS system so that they are easily understood, follow sequentially and typographical errors are kept to a minimum.

Be customer oriented and will respond to callers' requests as needed, and will be helpful and courteous to callers

And other administrative functions as assigned.

Managers and Supervisors of the Adult Protective Services Division.

Minimum Qualification

High School diploma or Equivalent and three (3) months of related experience in office administration. Substitutions Apply. See Substitution Table below.

Employment Requirements

Must possess and maintain a valid Driver's License. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within 90 days of employment.

Pre-employment background investigation is required and is conditional pending results.

Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone.
