Job Description

9:00 A.M - 5:00 P.M

PURPOSE OF POSITION
Under the guidance and supervision of delegated members of the Patient Care Services, with some latitude for independent actions or decisions, the secretary Level Ill performs clerical and related activities which contribute to the delivery of patient care in conformity . with established policy and procedures for the signed uriit(s).

SUMMARY OF DUTIES AND RESPONSIBILITIES
  • Acts as a receptionist; greets and directs patients, visitors and authorized personnel. Refers non-authorized visitors to the nurse-in-charge.
  • Answers telephones; takes and delivers messages to members of the health team and patients. Locates doctors and nurses via telephone. Makes telephone calls for patients. Contacts relatives of patients when so directed.
  • Maintains patient privacy and confidentiality;
  • Maintains Census Log, Ward Activity Log, Patient Record Log, and/or others as per policy.
  • Reviews and makes adjustments on Daily Patient Census accurately.
  • Prepares requisitions for repairs, supplies and maintenance. Takes period inventory of supplies and equipment. Checks receipt of orders and reports discrepancies.
  • Processes and maintains patient's chart upon admission, discharge, and on ongoing bases. Ensures complete chart components according to Medical Record Department order of charts. Prepares patient's chart for return to Medical Records Department and delivers chart to Medical Records Department as per policy.
  • Demonstrates ability to use relevant equipment, and Electronic Medical Record (EMR)
  • Ensure that patient's medical records are labeled with the right patient and medical record number.
  • Makes appointments for tests, clinic, and ambulance transportation.
  • Demonstrates ability to use electronic communication and patient scheduling systems
  • Completes unit statistics. Counts patients for census. Enters admission, transfer of discharge data in ward report books. Record deaths in appropriate ledgers.
  • Receives and delivers mails and packages. M9kes arrangement for Messenger/Escort services to transport specimen, beds and patients for procedures.
  • Enters discharge/Transfers in Bed Tracking System as

    • they occur.
  • Utilizes effective verbal and non-verbal communication skills.
  • Displays courtesy and respect while interacting with patients, visitors and staff.
  • Adheres to department and organizational safety rules and regulations.
  • Maintains the security an-d confidentiality of data and information in accordance with patient's rights policies; adheres to HIPPA regulations ,
  • Demonstrates cultural sensitivity when interacting with staff, patients, and visitors.
  • Contacts other disciplines (i.e.. consultants, etc.) and pages doctors as directed.
  • Checks and replaces patients I.D. Bands as needed.
  • Assists patients and/or families in obtaining transcripts, verification of hospitalization.
  • Maintains patients records and completes heading, attached reports, add new sheets, etc.
  • Attends Continuing Education Programs and scheduled.
  • Maintains infection control precautions to promote patient safety.


Minimum Qualifications

  • Four year high school diploma or its educational equivalent.

Skills Requirement:
Ability to type at a minimum rate of 35 words per minute. Ability to take dictation at the rate of 80 words per minute is also required for those positions performing stenographic duties.
