JOB DESCRIPTION Grossmont Union High School District SENIOR ACCOUNT CLERK Purpose Statement: The job of Senior Account Clerk is done for the purpose/s of performing a wide variety of financial activities including processing, recording, updating and reconciling fiscal information; providing instructions and/or accounting support to other personnel; and ensuring compliance with district financial policies and procedures. Incumbents in this classification provide students and staff with fiscal services which in turn directly supports learning. This job reports to Director, Fiscal Services or Assigned Administrator Essential Functions

• Analyzes fiscal data (e.g. contracts, reports, data, etc.) for the purpose of determining feasibility of service within budget parameters and making recommendations.

• Assists auditors for the purpose of providing required information and coordinating necessary project activities.

• Coordinates with other staff for the purpose of completing projects/work orders efficiently.

• Informs personnel and vendors regarding a variety of procedures and program requirements for the purpose of providing necessary information for completing transactions, taking action and/or complying with established fiscal guidelines.

• Maintains a wide variety of fiscal information, files and records (e.g. accounts payable, accounts receivable, contracts, forms, requisitions, ledgers, etc.) for the purpose of providing an up-to-date reference and audit trail for compliance.

• Monitors account balances and related financial activity for the purpose of ensuring that allocations are accurate, related revenues are generated, expenses are within budget limits and/or fiscal practices are followed.

• Participates in meetings, workshops and seminars as assigned for the purpose of conveying and/or gathering information required to perform functions.

• Prepares a variety of written materials (e.g. correspondence, reports, transmittals, commercial warrants, checks, requisitions, requests, spreadsheets, forms, electronic transfers, etc.) for the purpose of documenting activities, providing written reference, conveying information and/or complying with financial, legal and administrative requirements.

• Processes a wide variety of fiscal information (e.g. revolving cash for disbursement, purchase orders, requisitions, travel requests, receipts, transfer and budget revisions) for the purpose of updating records and/or ensuring compliance with accounting requirements.

• Researches discrepancies of financial information and/or documentation (e.g. purchase orders, invoices, etc.) for the purpose of ensuring accuracy and adhering to procedures prior to processing for action. Other Functions

• Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment. Job Requirements: Minimum Qualifications SKILLS are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment; performing standard bookkeeping/ accounting procedures; preparing and maintaining accurate records; and utilizing pertinent software applications. Specific knowledge required to satisfactorily perform the functions of the job includes: district procedures and state and federal regulations; reconciles account balances; maintains inventory of office supplies; and complex accounting/bookkeeping principles. ABILITY is required to schedule activities; gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with a variety of data; and utilize specific, job-related equipment. In working with others, problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: adapting to changing work priorities; communicating with diverse groups; meeting deadlines and schedules; setting priorities; establishing effective working relationships; and working with detailed information/data. Working Environment The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
