Description: Job Summary:

Under the supervision of the site support supervisor and department manager, the Senior Cashier Receptionist directs, checks, reviews, assigns, coordinates, and reports on the daily activities of the cashier/receptionists. Serves as liaison between support staff and professional staff. Performs cashier/receptionist and limited administrative clerical support functions as outlined below:

Essential Functions:

  • Register and admit patients to service areas.

  • Secure information necessary for preparation of required forms

  • Collect appropriate fees, verify charges from fee schedule, issue cash receipts, prepare charge slips, and balance cash receipts

  • Receive patients for various clinic examinations

  • Relay instructions to patients in preparation for examinations

  • Maintain required patient statistical records.

  • Verify patients' Health Plan eligibility and answer telephone and routine questions

  • In addition, this position directs, checks, reviews, assigns, organize and coordinated the work of other employees within the area of assigned responsibility, and under the direction of the Support Supervisor and Site manager.

  • Also, the senior person reports on the work performance of other employees as required.

  • Other duties as assigned consistent with department exceptions and needs.

  • Regulates and maintains patient appointment schedules within the Diagnostic Imaging Department in an efficient and organized manner, following set protocols and procedures related to patient appointment types, preparation, etc.

  • Demonstrates knowledge of all activities performed in the reception section. Registers patients for appointments and completes all pertinent paperwork. Maintain knowledge and awareness of safety conditions, procedures and practices.

  • Uses computerized systems to maintain imaging appointments - registers and performs other related duties as necessary. Demonstrates effective use of PARRS, MRMS, Reg Plus, and TRRS.

  • Answers the telephone and explains department procedures (does not make appointments over the phone unless the request slip is on file in the department). When necessary, verifies appointments, provides efficient and quality patient care.

  • Orients and assists in training new employees for reception desk.

  • Follows fee collection procedure using Reg Plus.

  • Maintains assigned workstation in an orderly and clean condition with sufficient supplies. Reports equipment breakdowns to the proper authority. Notifies Environmental Services of housekeeping issues. Maintains a high standard of personal hygiene and professional ethics.

  • Adheres to the department dress code.

  • Attends in-services and staff meetings to improve and maintain current knowledge of departmental functions, policies and procedures. Attend selected meetings with professional staff as support services representative. Report out to support staff about changes in department protocols or procedures, solicits input from support staff and reports to supervisor.

  • Must demonstrate excellent services skills exhibited by courtesy, cooperative spirit and tact when interacting with employees, visitors and patients. Performs any other duties as required. Exhibits a high degree of tact and willingness to learn.

  • Requires ability to perform under stress and deal skillfully with difficult patients. Is knowledgeable about all types of appointments (preparations, how long exams take, schedule guidelines).

  • Reads clinical information and schedules appropriately. Schedules patients with requests from physicians. Explains all procedures and preparation to patients. Ensures pre-pulls are accomplished two (2) days prior to procedure and/or appointment and call patient to remind schedule appointment, co-pay and expectation. Also assure all orders are signed a day ahead of time.

  • Orders supplies attending to budgetary constraints. Monitors department stock and, with department supervisor, examines non-payroll budget and utilization reports, organizes and tract utilization of supplies forecast supply ordering needs. Prioritizes department spending on supplies to remain within budget.

Basic Qualifications:

  • Six (6) months working experience with emphasis on secretarial skills.

  • Excellent communication and interpersonal skills necessary to deal effectively with a diverse group of internal and external customers.

  • Working knowledge of computer application to include Windows 2007 / Windows 10 is required.

  • Must be able to perform varied clerical duties involving a degree of independent judgment, speed and accuracy.

  • Other qualifications as outlined in the collective bargaining agreement.

  • Typing 30 WPM

  • Basic Computer Skills testing

  • Experience with front and back office (registration /phones/consult management) preferred.

  • Has context menu
