Garver's Texas Construction team is seeking a professional, experienced Senior Construction Record Keeper. This role supports Garver's growing Transportation team through the following responsibilities:

Primary Duties

  • Construction Project Records - Preparing, coordinating, and distributing records for the management of CEI activities on construction projects.
  • Assisting staff with research information, report reproduction and public meeting notification mailings
  • Organizing project information, overseeing the Garver Plan Room and providing bid advertisement support
  • Assisting regional finance team by entering A/P receipts into specialized software, reconciling and entering credit card statements, entering mileage logs, light billing and ensuring A/R is deposited
  • Assisting staff with project certificates of insurance tracking and renewals
  • Updating Vision software as directed by project managers and marketing
  • Coordinating use of office conference rooms, company vehicles and field equipment
  • Coordinating travel, hotels, meals and itineraries for staff and client meetings as well as office functions (i.e. teambuilding events, staff picnic, Christmas party, etc.)
  • Managing registrations for webinars, conferences/seminars and staff licenses
  • Working in conjunction with full-time Regional Finance Administrator to monitor the front desk to greet clients or guests as well as sign for deliveries
  • Directing phone calls, sorting mail, producing document copies, binding reports, updating employee information, ordering office/breakroom supplies and filing
  • Ensuring that all common areas are orderly, coordinating office cleaning/maintenance and notifying staff of building maintenance
  • Collaborating with team leaders and HR to administer new employee paperwork and orientations
  • Assisting with special projects as requested

Requirements

  • High school diploma or equivalent
  • 10+ years' experience in an administrative support role
  • 10+ years' experience in AEC industry
  • Proficient with MS Word, Excel, Power Point and Project
  • Strong initiative, organization, and communication skills
  • Strong attention to detail

Preferred Skills

  • Experience working in the professional services industry
  • Experience in office administration
  • Ability to conceptualize processes and propose improvements
