Summary:
  • The Senior Coordinator of Medical Education encompasses the duties of the Department Coordinator of Medical Education, with advanced level of accountability to support the daily operations of the Department Education Programs. Under direction from the Department Education Director and the Physician Program Directors, the Senior Coordinator of Medical Education is responsible for independently and accurately managing the day-to-day operations of the Department Education Programs. The individual is responsible for smooth flow of planning, preparation and execution of activities relating to resident and fellow recruitment, education, training and wellness. The Senior Coordinator of Medical Education will serve as a primary resource for all house staff in the Department as well as the teaching faculty as it relates to their educational responsibilities. This position works closely with the Department Graduate Medical Education Leadership and provides support for the timely, efficient and effective administration for all Department Education Programs.

Responsibilities:
  • Independently coordinates activities and duties relating to the Department GME Programs.
  • This position requires close collaboration with the Department Education Leadership.
  • Functions as a lead coordinator for the education team, and serves as liaison to the GME office, subspecialty program directors and other department personnel.
  • Develops and implements new processes and assesses current protocols.
  • Advanced knowledge of ACGME and ABR requirements and regulations as well as Penn Medicine GME and OMA policies.
  • Provides reporting related to accreditation, education activities and program requirements.
  • Serves as a member of the Program Education Committee (PEC)Coordinates daily education office administrative operations for the GME programs, under the direction of the Department Education Leadership. This position requires collaboration with the education team, GME office, subspecialty program directors and other department personnel.
  • Facilities equipment ordering, trainee reimbursement process, professionally related education expenditures and division related invoices.
  • Coordinates functions relating to house staff on-boarding, licensing, orientation and trainings, rotations and compliance.
  • Coordinates Graduation and year end and alumni reporting for Residents and Fellows.
  • Facilitate processes relating to resident recruitment in support of the Recruitment Selection Chair.
  • Set up Conferences, evaluations and personalized teaching - Residency Programs.
  • Oversee the collection of accurate files on residents, including verifications, learning portfolios and items for CCC meetings, PEC meetings and SAR forms.
  • Maintains proficiency in MedHub trainee management suite, ensures data is complete, accurate and up to date; Generates various reports as requested.
  • Coordinates rotators and observers process for incoming and outgoing to Penn Medicine.
  • Various administrative tasks related to GME programs, as directed by the Department education Leadership.
Education or Equivalent Experience:
  • Bachelor of Arts or Science And 5+ years Progressively responsible Administrative experience or 5+ years Business, Education, Academics or Administrative experience (required).
  • OR Master of Arts or Science And 2+ years Experience in Graduation Medical Education (required).
