Job Description

PURPOSE OF POSITION:

Under the direction of the Chief Financial Officer (CFO), the position coordinates the administration aspects of the Finance Department with wide latitude for the exercise of independent initiative and judgment.

SUMMARY OF DUTIES AND RESPONSIBILITIES:
- Answer phone calls.
- Manage CFO's calendar and set up meetings.
- Support CFO and finance directors with various projects.
- Supervise staff to meet the department needs.
- Responsible for requisitions related to the Finance department and special requisitions as needed.
- Assist departments with credit hold and pending invoices to vendors.
- Prepare for the Vacancy Committee Board meetings on a monthly basis. Assist the Budget department with scheduling, communication with departments, and tracking status of actions.
- Responsible for travel and conference requests, and employee reimbursement correspondence with the Finance department, including reviewing documentation and educating employees about the process.
- Responsible for FPO correspondence, including reviewing and scanning documentation.
- Responsible for dental refunds, including reviewing and scanning documentation.
- Take notes in meetings on behalf of CFO, including Finance leadership meeting, Medical Equipment Committee meeting, etc.

Minimum Qualifications
1. a. High School Diploma or equivalent and five years of clerical experience including two years as a stenographic secretary; or,
b. A Baccalaureate Degree from an accredited college or university and one year experience as a stenographic secretary; or,
c. An Associate Degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary.
2. The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details and to maintain confidentiality of all executive and Corporate matters.
3. High level verbal, written and secretarial skills and knowledge required; or,
4. A satisfactory combination of education, training and experience.
