The Center for Advanced Vision Science (CAVS) within the Department of Ophthalmology at the University of Virginia seeks a Senior Grants and Contracts Administrator.

The successful candidate will:
  • Advise faculty in the preparation and submission of proposals in accordance with funding agency policies.
  • Gain familiarity with and use internal financial and pre-award platforms to submit proposals, submit award modifications, submit all required documentation and approvals, initiate and manage sub-awards, monitor budget, and assign salary costing allocations based on effort.
  • Collect required data in preparation of renewals and reports.
  • Ensure all proposal documents are aligned with current Federal standards or adhere to non-Federal proposal requirements, including formatting and content.
  • Responsible for budget preparation and monitoring, ensuring strict adherence to budget limitations.
  • Assist with budget negotiation, as needed, to ensure no unfunded costs.
  • Contact sponsors when there is a need for clarification on policies and procedures for proposal submission.
  • Monitor spending to ensure appropriate use of funding, including salary allocations, internal and external sub-award set-up and monitoring, and OTPS expenditures align.
  • Monthly meetings with PIs, trainees, students, and other team members to review budgets, salary allocations, upcoming conferences, and discuss any current or foreseen issues.
  • Compile, analyze, and interpret complex data to analyze situations, identify problems, and recommend solutions to faculty.
  • Coordinate, schedule, and review effort reporting.
  • Provide financial forecasts.
  • Perform monthly expenditure reviews for accurate spending.
  • Ensure trainee and student stipends are entered correctly in the system for prompt and accurate payment.
  • Establish, monitor and maintain subcontracts with local universities.
  • Review and approve external subcontract invoices and agreements.
  • Monitor project progress; prepare progress reports in compliance with sponsor guidelines.
  • Understand and interpret sponsor and university laws, policies and procedures governing research administration.
  • Track completed milestones for clinical research and assist with invoice creation and tracking of payments from sponsors.
  • Perform record keeping of trainee participation records and mentor lists
  • Track abstract presentations, talks, and papers for mentors and trainees.
  • Track incoming funding and resolve any discrepancies with sponsor
  • Assist in the Department budgeting process by providing the faculty salary allocations and funding sources, anticipated grant submissions, and other information as requested.
  • Assist PI with any ad hoc general award management needs
  • Ensure the PI and research groups are aware of and utilizing correct awards for spending.
  • Identify and resolve errors on award spending in compliance with sponsor guidelines.
  • Coordinate with Administration Team on any funding shortages to devise interim support plans.
  • Execute budget extensions, revisions, PI changes, award transfers, and other modifications as needed.
  • In addition to the above job responsibilities, other duties may be assigned.
Knowledge and Skills:
  • Knowledge of grant funding policies and procedures and applicable local, state, federal and university regulations.
  • Demonstrated ability to investigate unforeseen questions and scenarios to resolve in an accurate and timely manner.
  • Ability to provide technical advice and information to faculty and staff in area of expertise.
  • Aptitude to oversee grant proposals and financial transactions.
  • Strong interpersonal, communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.
  • Ability to make administrative/procedural decisions and judgments.
  • Aptitude to analyze budgetary line items for compliance with budget guidelines.
  • Human relations, leadership skills, and the ability to function in a team environment required.
  • Capacity to multi-task and work towards several objectives simultaneously on tight deadlines.
  • Have a proactive mindset.
  • Ability to solve moderately complex accounting and reconciliation issues.
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
Minimum Qualifications:
  • Education: Bachelor's degree
  • Experience: Five years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree.
  • Licensure: Certified Research Administrator (CRA) certification is preferred.
Preferred Requirements:
  • Exceptional background in post-award financial management.
  • Exceptional background in managing training grants, or similar, strongly preferred.
  • Familiarity with Huron and WorkDay preferred
  • Familiarity with broad spectrum of sponsored research programs and the ability to provide generalized guidance to students and early career investigators.

Physical Demands :

This position is located in Charlottesville, VA. This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
