Job Description

PURPOSE OF POSITION:

Under general supervision with latitude for independent judgment and initiative, serves as the administrative assistant to the GME department and to facilitate all student and residency program activities in GME.

AREAS OF RESPONSIBILITIES:

The Sr HCPPA Lev B/GME Administrator reports and assists the Director of Graduate Medical Education, Medical Education, and credentialing.

SUMMARY OF DUTIES AND RESPONSIBILITIES:
• Report directly to Director of GME to assist in all areas of GME.ACGME & CODA
• IRIS reporting and responsible for IRIS readiness for all residency programs. Review all residents' demographics in preparation for IRIS and update accordingly.
• New Innovations Data Management with Medicine, Pediatrics, OMS, Peds Dental, and General Dentistry. Review new resident's data and update current resident's data.
• Maintains Duty Hours data regarding compliance with limits on educational and clinical work hours of trainees for institutional oversight; prepares annual report for IPRO/NYSDOH regarding work hour and supervision compliance; provides coordination with individual programs for periodic on-site IPRO/NYSDOH surveys.
• Oversee in maintaining and checking various kinds of records pertaining to students, residents, and GME related items.
• Manage all residency programs GME meetings and events.
• Handles all methods of record management and correspondence.
• Support and assist with preparation of ACGME Institutional and Program Site Visits.
• Maintains required GME institutional policies; prepares and updates as needed for GMEC committee review.
• Responsible for processing and maintaining HHC purchase orders & reimbursements.
• Collect and process the residents holiday reimbursements.
• Coordinator for Graduate Medical Education Committee, Facility-Based, and Wellbeing Subcommittee; prepares and circulates agendas and minutes; maintains attendance records.
• Facilitate the process of new and promotional contracts for all house staff training through Woodhull's residency and fellow programs.
• Assists with the Students & Affiliates applications, verifies credentials, collects required information from medical students, external residents, and other students.
• Issues ID forms and Epic access.
• Handles and coordinates other large scale GME activities such as Incoming House Staff Orientation.
• Attend all GME functions including meetings, trainings, seminars, workshops and monitor residents' compliance.
• Responsible in preparing and arranging for services and activities in connection with receptions and other public functions. Resident Graduation ceremonies, Residents Research Day, Residents Day, Clinical Wellness, Forums, RNEO, and BBN.
• Preparation and closing of GME related projects and events.
• Effectively utilizes various computer applications or other automated systems such as spreadsheets, word processing, calendar, e-mail, Power point, Survey Monkey and database/statistical software in performing work assignments.
• Preparation of data and analysis of information for on-going oversight of GME programs at Woodhull including, but not limited to IPRO, CMMS, NYSDOH, ACGME, and CODA.
• Function as a liaison between the DIO, Chair, faculty, other departments, and institutions as needed.
• Identifies opportunities for improvements in methods, procedures and organization to increase efficiency in GME team operations.
• Other clerical duties as assigned including special assignments.
• Responsible for wearing professional attire.
• Participate in all departmental activities, in-services, and all hospital-wide training.

Minimum Qualifications
1. A Baccalaureate Degree from an accredited college or university in Business Administration, Engineering or Social Sciences, Health Care Specialization, Physical Sciences or related programs; and
A minimum of four years of progressive, responsible experience related to Health Care Program Planning, Research, Design, Operation, Evaluation and Analysis; or
2. A Masters Degree from an accredited college or university in Public Health, Public or Hospital Administration, Health Care Specialization, Business Administration or related disciplines; and
A minimum of three years progressive, responsible experience directly related to health care program planning, research, design, operation, evaluation and analysis; or
3. A satisfactory equivalent combination of training, education and experience; and,
4. Demonstrated skills in written and oral communication.
