EPAM is currently seeking a full-time Office Specialist for our Boston studio. The Office Specialist oversees the facility, maintenance, and security studio in addition to shared coverage of the front desk. The Office Specialist acts as a concierge to staff, guests, and clients visiting the space- anticipating needs and ensuring the studio always maintains a pristine appearance. You have strong attention to detail for tracking maintenance schedules and audit information. This is a hands-on role requiring the ability to see the big picture as well as the smallest details. As we welcome colleagues to in-person work, this highly visible role is expected to evolve to best support the EPAM community.

Responsibilities
  • Facilities: 45%:
    • Coordinate on-site vendors for routine maintenance and repair work
    • Perform small office improvement and organization tasks to ensure office efficiency (ex: changing lightbulbs, moving furniture)
    • Oversee small construction and renovation projects
    • Serve as the primary point of contact for building management
    • Participate in monthly landlord meetings
    • Coordinate with IT to manage onsite technology needs
  • Security: 25%:
    • Regularly perform Clear Screen/Clear Desk reviews of the space
    • Review CCTV footage and escalate identified security incidents to the Global Security team
    • Oversee document management for ISO and ISAE audit exercises
    • Work with internal teams to manage on-site audits for Boston
  • Front of Office Activities: 30%:
    • Greet all guests to EPAM Continuum; manage guest sign-in and NDA process
    • Route incoming calls, including facilitating inbound sales inquiries
    • On occasion, coordinate client/guest/employee needs, including travel, shipping, etc
    • Maintain the lobby, conference rooms, and all common areas with an exceptionally high level of care
    • Collaborate with the Guest Services Coordinator as needed to ensure a premium experience for all guests and staff

Requirements
  • 2 years of experience working in a facilities role
  • Previous experience in customer service and/or security a plus
  • Occasional early morning and evening hours, at times with minimal notice
  • Bachelors degree preferred
  • Excellent problem solving, communication (written and verbal), and organizational skills
  • Superior time management skills
  • Ability to work with limited supervision and as part of a collaborative team
  • Solid proficiency in MS Office suite and acumen for learning new software programs
  • Willingness and flexibility to seek and/or offer help when necessary to effectively complete work
  • Precise attention to detail
  • Ability to lift 30+ pounds
  • Able to climb ladders exceeding 10ft
