GENERAL SUMMARY/ OVERVIEW STATEMENT:

Under the direction of the MGH/MGPO Director of the Office of the Chief Medical Officer (CMO), the Senior Project Specialist for Clinician Engagement and Medical Affairs will be responsible for leading a variety of initiatives central to the work of the MGH/MGPO Office of the CMO. The key areas of focus for the Senior Project Specialist include the MGH and MEE Medical Policy Committees and MGH Clinical Policy and Records, Clinician Experience and Engagement, Clinician Events and Programming, and management of additional high-level OCMO initiatives as needed. S/he will collaborate with key leaders in numerous departments, such as VPs, Administrative Directors, Chairs of clinical services and other physician leaders, and members of OCMO at MGH and across Mass General Brigham (MGB) in order to meet program requirements and standards. This position requires advanced-level project management and communication skills. The Senior Project Specialist will be responsible for maintaining the timeliness and thoroughness of projects, continuously assessing and making effective recommendations to address any barriers or obstacles to achieving project goals.

PRINCIPAL DUTIES AND RESPONSIBILITIES

MGH Medical Policy Committee

• Collaborates with MGH/MGPO Chief Medical Officer and MGH representative to the MGB Medical Policy Committee to support the work of the MGH Medical Policy Committee (MPC).

• Provides functional supervision of a project coordinator to ensure timely communication to front-line staff and senior staff about new and existing MGH/MGPO policies.

• Reviews and helps develop reports for senior leadership, including MGH and MGPO presidents, summarizing the work of the Medical Policy Committee and highlighting potential areas of concern, as needed.

• Works collaboratively with the MGH representative to the MGB Medical Policy Committee and MGH project coordinator to guides policy owners, as needed, on processes related to policy approval and changes.

• When vacancies arise, propose membership changes to the MGH/MGPO Chief Medical Officer and help onboard new members.

Clinician Experience and Engagement

• Project management and oversight of programs and initiatives related to the Frigoletto Committee on Physician Well-Being.

o Collaborate with the Program Director of Physician Programs to oversee the day-to-day work of the committee, including communicating with committee members, MGPO leadership, department contacts, and outside consultants.

• Oversee the work of the Career Reflection Interview Workgroup, designed to understand the factors that lead to a physicians' decision to leave MGH and improve the MGPO as a place to work.

o Attend, participate in, and track deliverables for all meetings related to Career Reflection Interviews, including meetings with the workgroup, leadership, and individual departments.

o Track career reflection interviews and outreach to identify gaps and opportunities for additional participation in the program. This may include collaboration with Human Resource

• Aids in the collection of physician survey data and helps with the creating of department reports and ad hoc reporting requests.

• Work with the Directors of the OCMO on program budgets, including accurately tracking expenses and providing input to ensure fiscally responsible spending.

• Management of activities related to the MGH/BWH Quality Incentive Program as needed.

Clinician Events and Programming

• Executes the MGH/MGPO special events including the MGPO Physician Dinner and other events by building strong relationships with internal and/or external contacts.

• Independently anticipates and meets event needs.

• Prioritizes work in alignment with the needs of the key stakeholders; uses stakeholder feedback to improve work results.

• Manages and executes the process for planning and implementing MGPO special events and programs, including the MGH/BWH Women Surgeon Connectivity Program, MGPO Commons, department lunches, MGPO Listening Sessions, and other special events.

• Arranges logistics for special meetings and programs, including the booking of conference rooms and A/V support, ordering catering, and setting up rooms for meetings.

Additional Responsibilitie

• Develops communications and presentations to inform hospital leaders, department QA chairs, and physicians of current initiatives.

• Evaluates the scope of projects and identifies critical factors to ensure success completion.

• Develops detailed plans, timelines, and workflows to ensure that that all project goals are met.

• Builds strong working relationships with internal and/or external customers. Independently anticipates and meets customer needs. Prioritizes work in alignment with the needs of the customer; uses customer knowledge and feedback to improve own work results.

• Identifies key areas within the hospital and OCMO that will be impacted by projects and develops plan to address the needs of the identified areas.

• Leads other physician programs as required.

• Management of additional OCMO projects as needed.

• Collaborate with MGB and BWPO on system-wide priorities and initiatives.

Qualifications

• Experience with Microsoft applications (Access, Outlook, Word, PowerPoint, Excel) and other web-based applications.

• Strong data management skills in Excel or a similar environment with the ability to maintain spreadsheets and integrate data from multiple sources.

Education:

• Bachelor's degree required. Master's degree preferred.

EXPERIENCE:

• The qualified candidate will have an advanced degree, with a minimum of 5-7 years related experience, preferably in an academic medical center or similar environment.

• Master's degree in public health, healthcare management or relevant work experience strongly preferred.

• Experience with event planning is desired.

• Demonstrated ability to teach new skills and to work independently with a minimum amount of supervision.

• Demonstrated experience in project management leadership.

• Demonstrated expertise in managing working relationships in a matrix structure.

• Solid knowledge of project management strategies and techniques and track record of successful project management.

WORKING CONDITIONS:

Hybrid work model. Must be available to work on-site and at event venues during the work week, including outside typical work hours to support special events. When in office normal working conditions; office setting.
