Responsibilities
  • Provides administrative support to the assigned office by performing routine and complex administrative tasks to ensure accuracy and efficiency in daily operations
  • Returns customer calls as they relate to questions. (i.e.: transactions, refunds, making deposits to inmate accounts, etc.)
  • Returns customer email inquiries as they relate to confirmation of deposits, scheduled visits, making deposits, etc.
  • Greeting visitors when they arrive to our offices, setting up corporate lunches, catering, staff meetings, etc.
  • Managing chargebacks, we receive from customers (a chargeback is when a cardholder reports a transaction with a merchant as fraudulent/unauthorized, and we work with the banks on these issues).
  • Managing incoming/outgoing mail distribution for our office (including UPS).
  • Managing office supplies by inventory of supplies available and ordering as needed.
  • Performs other related tasks as
  • Assisting as needed with managing corporate receipts and other accounting office tasks.
  • Assisting as needed with account management tasks and other client services projects, including, but not limited to, bank recs, client calls, hardware testing, software testing, and training.
  • Tracks Key Performance Indicators for the customer service team. Reports them at routine meetings to the Operations Director.
  • Knowledge of office practices, procedures, and equipment.
  • Knowledge and ability to use computers and ability to navigate various web/data systems.
  • Ability to express ideas clearly, concisely, and convincingly, both orally and in

Qualifications

  • Associate Degree or higher college diploma.
  • Postsecondary education/certifications.
  • Prior experience in similar job classification.
