Job Description

PURPOSE AND SCOPE:

Under general supervision, the Specialist III, Honors and International Education performs advanced and standard administrative duties. Generally reports to a Manager-level position and provides specialized daily operations management for the HIE campus office (Honors and/or Global Scholars). Activities include specialized support for director, students, and faculty at the campus-level, as well as collaborating with the system-wide HIE staff team and proactively contributing to a service-oriented environment.

ESSENTIAL JOB FUNCTIONS:
  • Serves as first contact in the HIE campus center for all students, as well as internal and external visitors; assists students by handling their requests and providing routine information
  • Scans mail, arranges in priority order, and distributes to one or more managers
  • Screens calls for managers and responds to routine questions; answers all inbound calls and trouble shoots HIE Center to resolve student inquiries regarding the admissions process, advising info, registration requirements, and business functions, as well as general inquires
  • Performs accurate data entry using custom SharePoint database modules (application, roster, scholarship, budget, travel and conference), including adding/dropping new students in the system and correctly registering their classes and campus-level processing and tracking of program applications and scholarships; runs regular reports to ensure accuracy
  • Schedules tentative appointments for approval by manager, makes routine travel arrangements; may schedule group meetings and assist with set-up; maintains campus events and SharePoint project calendars
  • Collaborates with college staff and administrators to address and provide a wide variety of assistance to students to promote recruitment, admissions and enrollment
  • Maintains HIE space, including requesting equipment repair, as well as stocking, organizing and maintaining supplies; Responsible for safety and maintenance of own equipment; may control or disburse petty cash or monitor expenses charged against department accounts
  • Promotes communication, program awareness and opportunities that the division provides
  • Assists with the preparation of events including catalogs/flyers, promotional items, job aides, maps, room notices, etc. and may attend events to assist and/or inform the students and the community of LSC programs
  • Coordinates with other administrative, maintenance, or clerical employees in own department or throughout the college to accomplish such routine activities as ordering supplies, obtaining approvals, and collecting standard forms
  • May collect data and perform basic mathematical calculations, including assisting with budget documents and records
  • Contacts prospective students during peak registration and before each enrollment period starts to provide assistance with the enrollment process through phone calls or emails and includes registering students for classes
  • Assists in scheduling and inputting classes and/or preparing instructor classroom and project materials
  • With supervisor's approval, responsible for supporting the System-wide HIE staff member working group for collaborative Professional Development, cross-functionality, and general coverage
  • Responsible for other reasonable, related duties as assigned

    • Ability to multi-task and prioritize work assignments
    • Ability to maintain confidentiality

    PHYSICAL ABILITIES:

    The work is sedentary. Typically, the employee sits comfortably to do the work. However, there may be some walking; standing; bending; carrying of light items, such as papers, books, or small parts; or driving an automobile. No special physical demands are required to perform the work.

    WORK SCHEDULE AND CONDITIONS:
    • Equipment used includes, PC workstation running on a LAN in a Microsoft Windows environment, calculator, phone and other general office equipment
    • Interface with internal and external contacts as needed to carry out the functions of the position
    • Work is performed in a climate-controlled office with minimal exposure to safety hazards

    REQUIRED QUALIFICATIONS:
    • High School Diploma or GED and at least 3 years of experience, or an equivalent combination of education and experience

    Salary

    Hiring salary range is $33,540-$38,571

    Lone Star College provides a hiring salary range for all posted full-time non-faculty positions. Where your salary offer would fall in that range is determined by your related experience and education.
