Job Summary

The Onboarding and Compliance Specialist works as part of the HR Operations team to ensure new and existing team members across the health system receive the best possible service and support during their onboarding experience while also maintaining compliance and mitigating risk according to federal, state, agency, and organization job requirements.

Essential Functions and Responsibilities
  • Conducts and maintains ongoing process of collecting and validating employment and job requirements for MWHC Associates including certifications, licensure, registrations, and education.
  • Facilitates the onboarding and intake processes for all new hires and transfers ensuring an outstanding experience that meets all compliance and regulatory requirements.
  • Maintains the integrity of Associate records and HR systems as it relates to job requirements and personnel documents, to include: clinical licensure, certifications, education, personnel records and background checks.
  • Monitors compliance regulations, which may include: accreditation agencies (TJC, CAP, CMS, etc.), I-9 and immigration, regulatory and industry standards, and federal, state and local requirements.
  • Initiates and completes review of all new hire and transfer Associate transactions to ensure they meet compliance standards and performs periodic audits to ensure that all required documentation is collected and maintained.
  • Provides onboarding and compliance guidance, responds to routine HR-related questions and makes escalation judgment decisions to provide resolution or distribute action items to appropriate HR team member and or COE.
  • Maintains onboarding and compliance knowledge base and self-service resources in partnership with human resource centers of expertise.
  • Assists HR leadership with various assigned tasks, special projects, and HR sponsored activities. Performs administrative, office related, and other duties as assigned.


Qualifications

Required:
  • High School diploma or equivalent required.
  • Two years of HR or office experience required.
  • Computer and software proficiency including at least intermediate level experience with Microsoft 365 applications.
  • Ability to communicate within all levels of the organization required.
  • Ability to manage multiple tasks and complex projects in a fast-paced environment required.
  • Ability to work independently and cooperatively/collaboratively as a part of a team.


Preferred:
  • Bachelor's degree preferred.
  • Experience working in a health care setting and with Joint Commission requirements preferred.
  • Familiarity with Workday and OnBase preferred.
  • Experience within a shared services model preferred.
