Job Summary/Basic Function:
Post-award administration, including review and application of research rules and regulations and fiscal management on behalf of researchers, to sponsors and members of the University’s research community and the public.
Department Overview:
This is a remote/hybrid or in person position. Provides fiscal oversight, and sponsored project administration services for principal investigators and departmental and college staff who have externally-funded projects.
Level Scope:
Entry-level professional with limited or no prior experience to contribute on a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision making. This level is typically focused on self development. Requires theoretical knowledge through specific education and training.
Essential Functions:
95% of Time the Position must:
  • Manage sub awards from inception to close, including reviewing terms & conditions at setup, review and approve sub invoices, and complete close process.
  • Coordinate compliance with the technical reporting process among PI, OSP staff, and sponsors. Provide guidance to faculty and staff about technical reporting formats, submission requirements, and due dates.
  • Assist in arranging Post-Award team travel, conferences, and other trainings and making Post-Award related purchases.
  • Maintain close-out status of awards in InfoEd.
  • Review updates for compliance with sponsor guidelines and University policies and procedures.
  • Coordinate the annual archive process.
  • Provide fiscal management services to faculty and staff and collaborate with key personnel to ensure comprehensive oversight of each sponsored project for a small portfolio of sponsored projects.
  • Analyze costs for compliance with federal cost principles and reconcile the University’s financial ledger with sponsored project budgets and expenditures for a small portfolio of sponsored projects.
  • Create and submit fiscal reports as required by the sponsoring agency for a small portfolio of sponsored projects.
  • Assist with daily activities including integration of new awards and modifications from InfoEd into PPM.

5% of Time the Position must:

  • Excellent and timely customer service to faculty members, administrators and staff.
  • Ability to represent the interests of the research enterprise to internal and external customers, including the ability to understand and explain Federal and State statutes, regulations, policies, and procedures.
  • Ability to think independently and make qualified judgments.
  • Ability to read and understand contract language relative to administration of sponsored projects.
  • Ability to interpret and apply federal, state and University regulations with support.
  • Excellent analytical and problem-solving skills.
Minimum Qualifications:
  • Bachelor’s Degree or relevant professional experience.

Preferred Qualifications:
  • Two years of professional experience in higher education or research administration.
