What You'll Do:

Support collaboration across the Commercial Hospitality Product & Inventory team on the product development, management, and implementation of comprehensive hospitality packages for the Milano-Cortina 2026 and the Los Angeles 2028 Olympic & Paralympic Games. This senior coordinator position involves project management, knowledge capture and distribution, and supporting the organization and efficiency of the day to day business operations of the various teams of product development, content production, inventory management, and technology systems.

Responsibilities:
  • Assist the On Location Olympic Hospitality Product & Inventory team with organizational and administrative tasks, with a focus on project management and supporting across multiple Olympic games.
  • Develop and maintain an understanding of our Airtable based project management system and be a resource to support and educate others on usage and best practices.
  • Maintain accurate records of meetings, including minutes, action items, and proper cross functional coordination.
  • Develop and maintain a working knowledge of internal workflow processes and technology systems used to support the business, including daily product tracking and other business operations.
  • Assist in ideating, creating, maintaining, and executing an innovative and strategic product architecture related to event tickets, hospitality, and travel experiences.
  • Establish and maintain working relationships with internal and external functional teams.
  • Liaise and collaborate with product teams and other internal functional areas to build products and maintain inventory within inventory and ticket management systems.
  • Assist with daily tasks, including but not limited to developing briefs, maintaining and/or updating timelines associated with go-to-market initiatives, internal and external presentations, sales collateral, digital system management, and more.
  • Support team and department leads with miscellaneous projects and presentations.

  • Experience in project management and the ability to define a project's goals and scope, document project tasks, and ability to follow up with individuals for updates and completion of tasks.
  • Good communication and interpersonal abilities, with a willingness to learn and contribute to a team-oriented environment.
  • Eagerness to collaborate and contribute positively to the team's objectives.
  • Ability to identify and mitigate risks that could impact a project's successful delivery
  • Ability to identify gaps in our processes, communication, or documentation.

Travel:

Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. International travel may be required. Expected travel may range from 5-10% annually and typically specific to event operations as needed to support the business.
