Position Summary



The Sr. Medical Staff Coordinator is responsible for coordinating all medical staff activities and acts as a liaison between the medical staff and administration. Supports and collaborates on MemorialCare Medical Staff Services Systems Credentialing Value Added Team (VAT). Oversight of Credentialing, Crimson, Survey readiness in conjunction with Director.

Essential Functions and Responsibilities of the Job

  • Manages, assesses and analyzes the credentialing and privileging processes. Included is oversight of the timely processing of an application/reapplication, liaison with the Central Verification office (CVO); and assuring timely processing through the campus committee structure. Timely oversight on provisional members regarding proctoring. Oversight with communication to various areas on campus on Board updates or database interfaces Ongoing Professional Practice Evaluation (OPPE) to assure compliance with set timelines, reporting, Policy and Procedures, MSO Liaison for Crimson.
  • Assists the Director in providing managerial support to the staff and acts in the capacity of the Medical Staffs Director’s designee in charge of the office when the Director is absent from the facility. Demonstrates leadership skills and effectively allocates resources. Assists the Director in identifying opportunities for improvement or special projects, and acts as a facilitator in implementing.
  • Assists Director in efficient, accurate and professional functions of the medical staff services department. Included is the planned transition to a paperless process for credentialing, file storage, development of policies and procedures with on-going assessment to assure compliance by all staff. Troubleshoot any issues that arise to determine resolution. Coordinate with all Memorialcare campuses on shared providers and standardization of processes among all areas.
  • Establishes policies and procedures, coordinates and trains staff in all aspects of the physician database. Maintains Superuser level expertise with database and interface system issues. Provides education and assistance in the development of mechanisms to assess physician performance. Identifies potential risks, and consults on disciplinary action when appropriate, using knowledge of regulatory agency requirements, medico legal history relative to committee actions or medical staff issues, respective hospital departmental, section rules, regulations, bylaws or policies and procedures.
  • Establishes and maintains courteous, cooperative relations when interfacing with the medical staff, administration, ancillary departments, physician office staffs and other healthcare providers. Interacts and coordinates with Performance Improvement, Health Information Management, Risk Management and fellow medical staff professionals as it relates to medical review functions and reappointment or reappraisal.
  • Initiates and formulates annual review of department or section rules and regulations, for compliance with medical staff hospital-wide rules and regulations or bylaws and outside regulatory bodies, specific to assigned areas of responsibility. Creates, analyzes and maintains department or section related rules and regulations, guidelines, policies and procedures and clinical privileges for review by medical staff governing committees. Initiates, monitors and supports department or section compliance related to quality patient care and compliance of governing documents.
  • Coordinates with Director in preparation for successful passing of The Joint Commission survey with no areas of improvement identified. Communicates standards to counterparts to assist in achieving compliance and participation in related survey processes.
  • Coordinates all medical staff activities, staffing, scheduling, agenda formulation, pre-meeting preparation of materials and notices, documentation of proceedings, meeting minutes, maintenance of records and follow up on actions. Creates and prepares reports to document the findings, conclusions, recommendations, and actions taken from medical staff activities to various medical staff committees and Quality Committee meetings Assures compliance with monthly approvals of Credentials recommendations via the Medical Staff Affairs committee. Reviews the effectiveness of the actions taken.
  • Assists the Medical Staff Services Director in identifying opportunities for improvement or special projects, and acts as a facilitator in implementing.
  • Performs other duties as assigned.

Qualifications

Minimum Requirements



Qualifications/Work Experience:

  • 5+ years progressive experience as a coordinator within a medical staff office, including Credentialing, Peer Review, Quality Assurance, Privileging, development of criteria and meeting management skills. Prior Joint Commission survey experience required
  • 2+ years minimum experience with Medversant Credentialing Software
  • Broad knowledge in areas of accreditation standards, medico legal issues, state and federal regulations, supervision of medical staff functions required
  • Must demonstrate outstanding interpersonal and communication skills, be able to work independently and achieve desired results
  • Excellent computer skills in a Microsoft Windows environment including Word, Excel


Education/Licensure/Certification:

  • Associate's Degree in Medical Staff Services Management (MSSM) or equivalent preferred
  • Certification as a Certified Professional in Medical Services Management (CPMSM) along with maintenance of ongoing continuing education is preferred
