The starting salary for this position is $45,000. Salary placement is based on relevant experience and education level. This position is eligible for health benefits, paid time off, and inclusion in the PSERS retirement program.

JOB DESCRIPTION

Job Summary: The student data specialist will be responsible for administrative functions that focus primarily on SA programs and related responsibilities. The position is responsible for coordination, communication and collaboration with staff, supervisors, and districts, and the PA Department of Education (PDE). Responsibilities will include a variety of tasks but will not be limited to administrative duties for the Special Education Department.

Essential Functions:

  • Develop, initiate, maintain, communicate, revise, and monitor comprehensive systems for auditing special needs records to ensure compliance with mandates guaranteed to students with disabilities by state/federal law; ensure compliance with local policies and procedures outlined for students in our programs.
  • Complete and maintain the admission/enrollment and rostering/withdrawal process for students within Bucks IU programs including referral process and other student information systems
  • Evaluation and assembly of staff records and permissions into the student information systems
  • Serve as a liaison with educational entities and school districts to administer and maintain integrated and error-free student data to ensure timely and accurate placement, meeting of timelines for SA and Related Services (RS) and IEP (Individual Education Plan) development, implementation, evaluation compliance reports and prepare document transfer requests
  • Produce, review, audit, and analyze necessary billing, attendance, and PowerSchool reports
  • Generate all administrative operations including attendance monitoring, submitting excusal notes, maintaining attendance for substitutes, submitting, and tracking referrals, and preparing and tracking NOREPs (Notice of Recommended Educational Placement)
  • Summarize, consolidate, and verify specialized billing information in collaboration with staff, supervisors, and school districts to create mid-and end-year billing spreadsheets for the Business Office
  • Process and update related service level information through the web ticketing system
  • Collaborate with the Medical Access team regarding health-related services
  • Generate, investigate, track, and execute completion of 4605 documentation, to determine district of residence for students in facilities or institutions.
  • Demonstrate daily guidance to staff, districts, educational providers on issues ranging from technical support to special education requests and inquiries

The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Position Type/Expected Hours of Work: This is a full-time, 260-day calendar position. Days and hours of work are Monday through Friday. Hours of work are from 8:30 a.m. to 4:30 p.m. Hours are dependent on the needs of the districts. Occasional evening and/or weekend work may be required as job duties demand.

Travel: Little travel to client locations is expected for this position.

Qualifications

Education and Experience:

  • Level of Degree:
    • Associate degree required
    • Bachelor's Degree beneficial
  • Knowledge, Skills, and Abilities:
  • Minimum three (3) years' administrative experience.
  • Advanced computer competency in various databases, Microsoft Office, Microsoft SharePoint, and the ability to learn other software as needed.
  • Special education experience preferred
  • Ability to create, manage and edit spreadsheets and various reports
  • Ability to work independently and within a team to accomplish goals and to problem slove .
  • Excellent organizational, interpersonal, and time management skills.
  • Excellent oral and written communication skills.
