Position Summary:
The M. Louise Fitzpatrick College of Nursing seeks applicants for the position of Student Enrollment and Engagement Specialist. The Student Enrollment and Engagement Specialist manages the applicant admission processing from prospective applicant inquiries through submission of deposit for the College of Nursing's designated program(s). The individual in this role is responsible for managing the CRM system to convert prospects and started applications to enrolled students in support of the Colleges' enrollment goals. This individual is an integral member of the Program teams responsible for handling communications with prospective applicants, coding inquiries and applications, handling transcripts and application materials, following consistent processes, assisting in program reviews, and evaluating how the admissions application system is utilized to ensure effective and positive system interaction for both applicants and internal stakeholders. The Enrollment and Engagement Specialist receives, processes, and manages program and track student admission decisions and assists the program(s) with communications and post-acceptance support. The Enrollment and Engagement Specialist will suggest innovative and efficient strategies to support the applicant experience and enhance department operations.
The position will be filled as a Specialist or Assistant Director based on the experience level of the successful candidate.

Duties and Responsibilities:
Enrollment Management
- Communicates effectively and professionally with prospective students and departments as the primary point of contact via phone, email, online chat, and in person about the application, decision process, and timeline to facilitate enrollment.
- Directs questions appropriately to program staff.
- Oversees uploading of transcripts and application materials; Completes an initial review of applications for completeness Manages the online application system (currently SLATE ) to deliver scheduled correspondence at various stages of the admissions process (with support and input from the Communication and Marketing team), make modifications to the application, and to communicate with prospective and accepted applicants.
- Liaises with faculty and/or program directors regarding application deadlines, materials and student status; Ensures validity and completeness of all applications prior to sending on to faculty for review.
- Provides assistance to prospective applicants in completing the application, submitting required materials, or to submit a deposit.
- Performs quarterly review of non-matriculated/specially admitted student records to determine eligibility for formal admission;
- Provides ongoing communication with international applicants regarding their application status and I-20 status and work with International Student Services office to send acceptance materials and I-20s to international students in a timely manner.
- Supports the Enrollment Operations team members when additional support or coverage is required.
- Works closely with the Director of Enrollment Management to maintain and track student data such as, number of completed applications, deposits, and number of enrolled students.
- Maintains Banner online application database and enrollment updates.
- Updates and maintains program files and databases on prospective, current, and past students.
- Tracks, maintains, and reports data on deferrals, accepted but did not enroll, and other various data points for the student population.
- Completes enrollment reports requested by accreditation agencies and others externally and internally organizations.
- Creates, updates, and distributes surveys for data collection and feedback.
- Creates and maintains all database reports.
- Maintains and reports historical and current trend data, highlighting potential areas of concern to inform recruitment strategy adjustments.
- Acts as point of contact for onboarding of newly enrolled students in the assigned programs and tracks.
- Engages with students in the post-acceptance phase to support program needs, including event logistical support.

- Must have the ability to handle a fast-paced environment and manage multiple projects/tasks with varied deadlines and frequent interruptions.
- Ability to maintain absolute confidentiality while understanding larger framework for detailed operation.
- Administrative skills and office operations, preferable in an academic environment.
- Proficient in word processing, spreadsheet, database, and presentation software (Microsoft Office products).
- Keeps current with Villanova University job-related technologies and databases (e.g. Concur, Banner, PeopleAdmin, Zoom, Teams).
- Bachelor's degree required.
- 3+ years of relevant and applicable experience required.
- Must have direct experience in student support, academic advising and/or professional development at an institution of higher education.
- Must have 5+ years of relevant and applicable experience required.
- Master's degree
- Experience in a higher education institution supporting enrollment operations for graduate programs
- Experience using Slate or other CRM system
