Job Summary

The position serves as the primary communications and programming coordinator for students in Maurer's Graduate degree and certificate programs, international and exchange programs, and student engagement programs. This is a frontline position, where an outgoing, caring, and professional individual can engage with all aspects of international education and student engagement: admissions, student advising, student services and programming, and more.

Department-Specific Responsibilities
  • Reports directly to the Assistant Dean for Engagement, Student Life and Access.
  • Provides ongoing, personal advising to program students on issues such as housing, basic visa questions, bursar bills, insurance questions, and other personal (non-academic) matters.
  • Responds to routine inquiries from applicants, students, alumni, faculty, staff; researches, resolves and refers issues as appropriate.
  • Coordinates logistics for departmental programming (e.g., orientation, graduation, access and engagement programming, and information sessions).
  • Oversees the Student Ambassador program and supervises the hourly graduate student Fellows.
  • Organizes 2 orientation sessions (in-person and online) per year for students and scholars, maintains and updates orientation materials, and coordinates the printing and online publishing of information and materials.
  • Coordinates academic advising and class registration for graduate and exchange students and maintains records and associated materials.
  • Tracks student progress in degree programs and provides relevant resources to students, sends reminders to students and faculty, and schedules dissertations defenses and conveys processes for dissertation submission.
  • Schedules and coordinates administration of graduate student exams.
  • Communicates with prospective and incoming students and may complete tasks in the admissions database and assist with other admissions procedures.
  • May schedule, plan, and participate in webinars for prospective and admitted students.
  • May support and organize logistics for recruiting and program related overseas travel.
  • Ensures that information sources such as print publications, websites, and social media platforms are updated regularly.
  • Maintains stock and places orders for promotional items.
  • Serves as the front-line presence in the office during office hours (8:00 a.m. - 5:00 p.m.).
  • Performs routine, day-to-day administrative duties, such as answering phones, greeting office visitors, managing appointment calendars, drafting correspondence, and coordinating. communications and social media, and additional fulfills additional requests, as needed.
General Responsibilities
  • Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail.
  • Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation.
  • Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains electronic records and databases.
  • Provides directions, support, and information to student organization representatives and other visitors to the department.
  • Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials.
  • May assist with ordering or creation of promotional materials for student organizations or departmental needs.
  • May provide guidance to other Student Services Coordinators.

EDUCATION

Required
  • High school diploma or equivalent (such as HSED or GED)
Preferred
  • Bachelor's degree
WORK EXPERIENCE

Required
  • 2 years in office environment, higher education, or related field
Preferred
  • 3 years of student services and/or international programs experience

Working Conditions / Demands

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
