Job Duties

The Supervising Deputy Court Clerk (Grade 11). Under general supervision of and reporting directly to the Clerk of Court, is assigned supervisory and operational responsibilities in a high-volume office with frequent deadlines. Individuals will direct or personally handle the operational activities required for efficient caseload processing in the following areas: records management, cash processing, and service to the public. The Supervisor is required to plan, schedule, and monitor these activities to coincide with the overall needs of the court, other criminal justice agencies, and the public. Must be committed to providing excellent customer service with a courteous and positive attitude. Must have flexibility to come in early or stay late.

Essential Duties & Responsibilities:

Provides supervision to the Front Counter and Court staff. Ensures Court's instructions are executed, and legal papers prepared with accuracy and in accordance with appropriate policies and procedures. Assignments will include training new employees as well as providing reference guides for established employees, preparing correspondence and court forms, entering data into an automated Case Management System/Financial Management System, and filing court documents as well as court accounting and bookkeeping and other duties assigned by the Clerk. In addition, the position delivers a high degree of customer service by providing information in person and by telephone, resolving problems, and assessing fines and costs. It must include a high degree of accuracy and the ability to prioritize. Must demonstrate competence in areas of responsibility, and direct supervision as well as knowledge of the court/criminal justice system and automated financial and records management systems. Assist Clerk of Court with other daily miscellaneous tasks as needed/assigned. Maintains a positive work atmosphere by behaving and communicating in a positive manner with customers, employees, Judges, and stakeholders. Maintains regular attendance and punctuality.

Minimum Qualifications

Experience in handling money is a must. Ability to establish and maintain effective professional working relationships with the Clerk, employees, Judges, and stakeholders. Proficiency in Microsoft Word is required. A high school diploma or equivalent is required; a college or business school degree is preferred.

Additional Considerations

Most competitive applicants will have court experience, and legal and judicial knowledge, and will demonstrate competence in areas of responsibility as well as automated financial and records management systems and personal computers.
