Position Summary

Reporting to the Access Services Manager, this position supervises the Interlibrary Loan (ILL) unit within the Access Services department and is responsible for the borrowing functions of Interlibrary Loan. Delegates work, assists with technology issues, recommends policy changes, maintains working knowledge of ILLiad, Millennium/Sierra Web, and Alma and keeps library staff informed of updates within these systems. Hires, trains, supervises, and evaluates staff in the ILL unit. Works independently under limited supervision. Works at the Service Desk as scheduled, assists with lending, and addresses patron ILL concerns as needed. The work schedule is Monday through Friday (8am-4pm). On occasion the schedule can be flexible as this position provides coverage for other staff as needed.

Essential Functions

Interlibrary Loan Management (50%)
  • Performs Interlibrary Loan operations including transmitting requests in a timely manner, assists in planning and implementing procedures, and communicates Interlibrary Loan policies to patrons and lending libraries.
  • Checks incoming ILL Borrowing requests for accuracy, completeness, and copyright compliance. Checks library holdings for print and electronic copies.
  • Shares responsibility with ILL unit staff for monitoring ILL Lending, Document Delivery, and Prospector requests, including processing materials for retrieval, scanning, and delivery to distance education patrons and lending libraries.
  • Processes invoices for lost material.
  • Reviews, updates, and corrects ILL and Prospector statuses between Resource Sharing systems and Alma.
  • Serves as a contact for Prospector issues and projects.

Staff Management (15%)
  • Supervises two full-time library technicians and one to two non-appointed staff in the Interlibrary Loan unit.
  • Hires, trains, supervises, and evaluates the Interlibrary Loan unit. Responsible for doing or delegating activities related to staffing this unit, such as training, workflow, liaison with the Dean’s Office for Human Resources issues, promote a positive and effective customer service environment, and ensuring that all unit work is done in a timely, efficient, and service-oriented way.
  • Approves ILL unit staff timecards and time off requests.

Management Responsibility for ILLiad and other Interlibrary Loan software (10%)
  • Works with the Access Librarian to change, identify, report, and correct issues with ILLiad, Millenium/Sierra Web, and Alma software regarding Interlibrary Loan procedures.
  • Maintains and updates ILLiad software settings to comply with University Libraries policies and consortium agreements.
  • Reports technical difficulties with Interlibrary Loan unit software and systems to the appropriate departments.

Interlibrary Loan Statistics (5%)
  • Collects data on work performed for monthly statistics and annual report.

Lending Desk On-Call (20%)
  • Works on-call at the Lending Desk assisting and coaching student employees on Lending Desk activities utilizing the Alma ILS to circulate library material, collect and negotiate fines utilizing the credit card machine, answer user questions utilizing the University Libraries website and electronic resources, and refer patrons to the appropriate department within the library or DU campus as needed.
  • Handles patron questions and concerns, communicates and handles service problems politely and efficiently, follows procedure to solve patron problems, maintains pleasant and professional image.

Other duties as assigned. Assist with cross training within Access Services department.

Supervises 2 appointed staff-LA III 917 and LA III 5037-and 1-2 non-appointed staff.

Knowledge, Skills, and Abilities
  • Ability to work collaboratively and cooperatively in a team-based organization
  • Ability to establish and maintain effective working relationships with library staff, patrons, and staff members from other institutions
  • Ability to follow established procedures and to perform work requiring considerable attention to detail
  • Ability to prioritize, work under pressure, and handle multiple tasks simultaneously
  • Ability to use and troubleshoot issues with automated library systems, computers, and other office equipment
  • Ability to collect and analyze statistics and maintain clerical records
  • Demonstrated organizational skills

Required Qualifications
  • High school diploma or GED
  • Experience working in a library
  • Experience in a public service or customer service-forward role
  • Experience performing detailed work in an automated system

Preferred Qualifications
  • Supervisory experience
  • Experience working with ILLiad (or a comparable RSM)
  • Experience working with Ex Libris Alma (or a comparable ILS)
  • Experience working with III products (Sierra, Sierra Web, Millennium, etc.)
  • Experience working with CO Alliance’s Prospector

Working Environment
  • Indoor work environment
  • Split between a desk in an open-office environment, a busy service desk, and some movement around the library
  • Workload varies alongside the academic calendar and user needs
  • Noise level ranges from quiet to conversational speaking
  • This position necessitates substantial in-person engagement during the majority of working hours.
  • The University of Denver and University Libraries offer a progressive flexible work policy that permits approximately one day of remote work per week, which can be negotiated between the employee and their supervisor.

Physical Activities
  • Ability to sit in front of a computer for an extended period of time.
  • Occasionally required to move about the office/campus with the capability of transporting objects up to 20 lbs.

Work Schedule

The University’s administrative offices are open Monday - Friday, 8:00 a.m. - 4:30 p.m. Work schedule may vary.

The salary grade for the position is 6.

Hourly Range:

The hourly range for the position is $20.40 - $23.00.
