The Ragon Institute is seeking a Supply Support Associate. Working under the direction of the Facilities Manager, the Supply Support Associate will perform a broad range of duties to support the operational needs of the Institute and its building. Work will include shipping and receiving, inventory tracking, mail distribution, cleaning, room set up and equipment storage. The Supply Support Associate will provide appropriate customer service across the facility, troubleshooting issues and referring matters to management as needed.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

General Duties:

  • Comply with MGH and Governmental regulations, accreditation requirements, and Ragon Standard Operating Procedures (SOPs).
  • Serve as resource to Institute members and Facilities team, leading work and training and other responsibilities as needed.
  • Perform other assignments as required.


Materials Management Duties:

  • Oversee materials management operations, including receiving, storage, shipment, inventory management, and order processing of all materials for product development and manufacturing.
  • Work with electronic and paper based MGH inventory systems.
  • Coordinate and perform disposition of all expired materials and maintain applicable documentation.
  • Perform physical inventory counts.
  • Support preparation of outbound shipments.
  • Collaborate with manufacturing, quality control, quality assurance, and product development teams in supporting internal and external materials management operations, and resolution of issues.
  • Prepare and/or develop reports with key performance indicators to measure supply chain performance.
  • Mail Distribution entails receive all deliveries from UPS, USPS, DHL, VWR, Fisher Scientific, Staples, interoffice mail, and other couriers.
  • Sort and log in all incoming shipments.
  • Place paperwork in packages shelf receiving bins.
  • If boxes are damaged, write delivered damaged in the signature page.
  • Manage vendor deliveries at docks.
  • Deliver perishables or temperature-sensitive items as they arrive in a timely fashion, paying extra attention to packages that have special instructions as well as those sent by World Courier. Deliver packages from World Courier/Marken immediately to designated floor and immediately notify the listed personnel on description sheet attached in logbook.
  • Deliver outgoing packages to FedEx/UPS, bring packages to Fed Ex store if needed
  • Manage vendor deliveries at docks.
  • Ensure confidentiality and integrity of mail is maintained to standards.
  • Coordinate breakdown of pallets, excluding research equipment pallets


Porter Duties:

  • Loads/Unloads dishwashers if clean dishes are in the dishwasher from the evening before.
  • Performs daily walk through of the Ragon Institute, dry-erase boards that are no longer in use are clean, surfaces and glass doors are clean.
  • Main kitchen and kitchenettes should remain tidy throughout the workday.
  • Replenishes soap and sanitizer dispensers throughout the Ragon Institute.
  • Assists with maintaining and organizing inventory of cleaning supplies, hand & workstation sanitizing, first aid, food & beverage items, and lab supply items in the pantry, supply cabinets, kitchen, kitchenettes, restrooms, Lab and Tissue culture rooms.
  • Run Dishwasher in morning, afternoon and evening, restock coffee cups.
  • Daily deep cleaning UNIC coffee machine.
  • Daily check in common areas for any coffee cups laying around.
  • Tea Room Cleaning.
  • Spot clean internal staircase, internal windows and floors during the day
  • Wipe tearoom sinks during the day as needed.
  • Vacuum as needed during the day for spills.
  • Check entry ways and as needed dispose of trash/newspapers/etc., brush off chairs, wipe tables
  • Clean conference rooms as needed.
  • Clean entry ways dispose of trash, wipe tables.


Facilities Duties:

  • Daily tours of mechanical areas, kitchens, medical gases, and any other assigned areas
  • Minor PMs on lab and mechanical equipment (filters on refrigerators).
  • Oversee small projects to completion.
  • Set-up/check auditorium chairs on Friday afternoon and for events as needed.
  • Check conference rooms for trash, lights left on, misplaced chairs, turn off screens/lights, etc.
  • Alert management to safety concerns.
  • Project work as assigned (event set up, chairs set up, special event cleaning, etc.).
  • Attend to Work Orders and Service Requests as needed.
  • Assist with office/storage/furniture moves as needed.


Qualifications

EDUCATION: High school diploma or equivalent

EXPERIENCE: Minimum of 3 years directly related experience, such as in materials, inventory or facility operations support; must include independent and progressively more responsible work.

COMPETENCIES REQUIRED:

  • Able to follow instructions and work accurately
  • Must be self-motivated and able to work independently as well as part of a team
  • Must be flexible in responding to changing work priorities
  • Organizational skills with ability to maintain records and to track, coordinate and distribute materials
  • Good communication skills
  • Basic math skills
  • Basic computer skills


WORKING CONDITIONS:

  • Duties will be performed in a research setting. May have contact or exposure to one or more of the following: chemicals, cleaning products, fluids, sharp instruments and other supplies and equipment consistent with this setting. Contact or exposure may be airborne or physical.
  • Physical requirements are routine and include walking, standing, lifting and carrying.
  • Some weekend work may be required depending on manufacturing schedules.
