This position offers an opportunity for a hybrid work schedule with a minimum 2-day work in office.

This position is a member of our General Law Division.

HERE'S WHAT YOU'LL BE DOING...

• Prepare documents and correspondence for legal proceedings and for use in the office environment. Proofreads, edits, formats, and prepare documents in accordance with TCEQ Accessibility Guidelines and other requirements.

• Organize documents and correspondence for mailings and filings with governmental entities; files document with governmental entities; mails, faxes, and hand-delivers documents; and transcribes audio proceedings.

• Lead and coordinate special projects for supervisor. Prepares work coverage calendars, coordinates workflow, coordinate training for administrative and legal secretary staff, and serves as point of contact for supervisory support when supervisor is unavailable to include coordination of leave time Conduct peer reviews and quality checks, creates, maintains and reviews instructional information, secretarial manuals and/or handouts.

• Perform special functions which may include scheduling meetings; maintaining calendars; reserving meeting facilities; answering phones including the OLS reception phone; coordinating travel arrangements and preparing agency travel forms; and logging pending and completed assignments.



Qualifications:

EDUCATION & EXPERIENCE

• Graduation from an accredited high school or its equivalent, plus five years of full-time experience providing clerical or administrative support.

• One semester (15 semester hours) of accredited college work may be substituted for six months of the required experience with a maximum substitution of four years.

• Completion of 300 clock hours of course work in the clerical field from a licensed vocational, technical, or business school may be substituted for six months of the required experience with a maximum substitution of four years.

OR

• Graduation from an accredited high school or its equivalent, plus four years of full-time experience as a legal secretary.

• Completion of a legal secretarial curriculum from a licensed vocational, technical, or business school may be substituted for one year of the required experience.

OR

• Career Ladder Progression

• One year of full-time experience at the TCEQ as a Legal Secretary IV.
