Service Assistant II - Procurement / General Stores

The Service Assistant II effectively and efficiently receives materials and supplies from vendors, accurately picks and packs orders, and distributes orders to end users across campus. The Service Assistant II also provides campus-wide customer service and support for orders, troubleshoots overages, shortages, and damages, and is the first line in identifying any billing errors. The Service Assistant II will use the General Stores inventory management system as a tool to perform their day-to-day duties.

Job Function / Responsibilities

Distribution:

  • Prepare and prioritize a delivery route sheet for morning and afternoon deliveries each day
  • Deliver timely requested supplies to various locations across campus
  • Obtain signature of receipt on all applicable paperwork, record time of delivery, and record recipient ID number for entry in the inventory management system
  • Scan, save, and upload route delivery sheet to General Stores SharePoint site
  • Collects IT equipment from HSC Hub, and delivers to ITS, or to end users on campus; obtains and reviews itemized list, signs, dates, and returns to General Stores and ITS
  • Collects empty Styrofoam / dry ice containers from labs around campus for reuse by General Stores
  • Collects empty printer/toner cartridges across campus for recycling
  • Collects General Stores mail from UTHSC Mail Services
  • Email or call customers on campus about their deliveries.


Receiving:

  • Use the inventory management system to process, organize, correctly label, and store goods received from vendors
  • Monitor 'Supply Requisitions' in the inventory management system for requests of stocked items; identify, pick, and appropriately package supplies for delivery/pickup
  • Receives goods delivered by UPS, FedEx, or other carrier; compares packing list to package contents with the purchase order; signs/initials/dates each line item to confirm receipt; identifies overages, shortages, and damages; enters applicable data into the inventory management system; prepares received supplies for inventory or outgoing delivery
  • Updates UT Market Place 'Receiving' for all UTM purchase orders
  • Stores packing lists, invoices, etc., in the purchase order folder, and returns to the filing cabinet until all line items have been received
  • Scan, save, and upload completed purchase order folders to the General Stores SharePoint site.


Performs other General Stores day-to-day tasks, including but not limited to:

  • Answers incoming phone calls; assists customers with questions; escalates issues as needed
  • Monitors the General Stores email inbox; emails information to customers on campus
  • Attends to and assists walk-in customers
  • Participates in fiscal year-end inventory; cycle counts as needed
  • Assists team members with heavy items; contributes to General Stores team effort when a coworker is out sick, on leave, etc.
  • Ensures General Stores stockroom is kept clean and tidy; organizes shelves.

MINIMUM REQUIREMENTS:

EDUCATION:High school diploma or GED (TRANSCRIPTREQUIRED)

LICENSE: Must hold a valid Tennessee driver's license or a valid license from a neighboring state, if resident of that state, and must maintain a valid driver's license as a condition of employment.

  • The ability to determine efficient and effective methods to distribute supplies to various locations across campus
  • The ability to work independently and as part of a team
  • Knowledge and skills in using a computer, printer/scanner/copier, email, and the ability to perform data entry
  • The ability to operate a pallet jack, to lift, push, pull, and carry ≥75lbs; the ability to stand or walk for extended periods, stoop, kneel, crouch, and reach above one's head; the ability to operate a delivery vehicle
  • The ability to communicate professionally with coworkers, staff, students, and faculty
