Job Description Summary
The program coordinator reports to the Lead Administrative Coordinator. Under general supervision, the candidate will serve as the program coordinator to the department physicians and will perform division administrative tasks to include assisting the Vice Chair for Finance and Administration. Additionally, the program coordinator will indirectly report to the Residency/Fellowship manager for the department for residency/fellowship related job duties.

Job Description

Job Duties:

25% - Provide administrative support to assigned department physicians. This includes tracking and scheduling academic appointments, tracking faulty leave via OurDay, monitoring clinic schedules to ensure they align with faculty templates and calendars, clinic adjustments when there is an absence, tracking license renewals and CME credits, organizing and helping with academic related work, schedule meetings, taking meeting minutes, distribute mail, CV maintenance, presentations, etc.

20% - Residency/Fellowship duties - under supervision of department Residency/Fellowship manager: Ensures regulatory and accreditation standards of the ACGME fellowship governance board. Oversee and coordinate the interview processes to include application reviews, faculty and applicant interview scheduling; both in person and virtual platforms; applicant rank order list and fellowship onboarding responsibilities. Ensuring state licensure compliance to include medical license, DHEC and DEA enrollments. Works with fellowship program director, senior faculty members and MUSC GME department regarding training program annual program review as well as ACGME yearly program review documentation. Track fellows' daily duty hours, vacation leave and 6-month reviews with program director for program compliance.

15% - Perform division administrative tasks. Duties to include assisting the Vice Chair for Finance and Administration, faculty, students and visitors; coordinating and obtaining required procurement documents for reimbursement; ordering supplies; and providing direct support to meet critical deadlines. Performs special projects, including those related to division clinical education and evaluation, as well as clinic operations. Answering patient phone calls and documenting patient needs or routing the call when appropriate.

15% - Maintaining divisional calendars; this includes, but is not limited to: Creating both in-person and virtual meetings, coordinating the use of conference rooms, coordinating meetings for physician to physician consults, coordinating fellowship interviews, etc.

15% - Prioritizing or response to electronic messages from department physicians, other department physicians requesting coordination of care, the referral management department for complex or overbooking needs, and patients via the EPIC/MyChart platform. This also includes sending electronic notes to referring providers regarding recent patient appointments.

5% - Word processing, document editing, data entry.

5% - Other duties as assigned.

Minimum Requirements: A bachelor's degree and one year relevant program experience.
