Job Description

This position oversees the Campus & Electronic Deposits area which is responsible for the processing and reconciliation of all funds received by university departments as well as ensuring compliance with university and state deposit processing policies. This position is vital not only to the current leadership needs of this area but also essential to the development and implementation of initiatives to better serve the university community.

The qualified candidate will be able to oversee all incoming electronic vendor payments. This includes but is not limited to retrieving daily files, maintaining the Microsoft Teams Electronic Deposit site, and posting payments into the university's Financials/Student Accounts Receivable system. Many of these payments require extensive research that involves multiple outreach attempts with departments across campus as well as the original sender of the funds.

Some Tasks May Include:
  • Performing routine clerical and accounting tasks following established standards.
  • Posts journal entries.
  • Checks prepared documents and forwards to the proper office.
  • Maintains filing systems and accounting records.
  • Responds to routine financial inquiries from internal and external customers.
  • Prepares and scans documents into the optical imaging system.

Specific Position Duties Include:
  • Preparation of all electronic documents related to the morning reconciliation including but not limited to Cash Reports.
  • Coordinate imaging of Departmental Deposit documents to reduce retention of paper documents.
  • Assist with research of departmental requests regarding the deposit of funds and correct issues as necessary.
  • Assist with research and correction of outstanding issues with monthly State Treasurer reconciliation.
  • Responsible for routine cash verification and monthly preparation of accompanying balance reports.
  • Maintain online change order request system. Including preparation of all incoming change order requests.
  • Assist with posting/approval of departmental deposits and AR/Student payments as necessary .
  • Analyze financial data and review/audit accounts for discrepancies.
  • Verify that payment processing occurs promptly, accurately, and in compliance with university/state law
  • Coordinate/conduct quarterly campus-wide training.

Coordination of daily operations includes but is not limited to: policy and procedure interpretation and implementation; utilizing decision-making skills. Individuals will train staff to ensure compliance with federal, state and university policies and regulations.

Job Requirements

Required Education: High School diploma or GED.

Skills:
  • Ability to communicate verbally and in writing.

Departmental Preferences:
  • Experience in higher education, student services and bursar functions
  • Cash handling experience
  • Proficient in Microsoft Office
  • 6-12 months in Customer Service experience
  • General office skills such as multi-line phone, copying, filing, faxing, and mail
  • Composition and proofreading skills
  • Exercise patience and professionalism in all forms of correspondence.
  • Demonstrate good decision-making skills, time management, and ability to work under pressure caused by deadlines and/or busy periods of the academic year.
  • Must display organizational skills; strong attention to detail; ability to work independently.
