Job Summary: Assists in the coordination of Intermediate Unit Facilities Services programs including vendor relations, maintenance/custodial operations, Facilities Services projects and general building safety conditions at all Bucks IU locations and leased properties. As a member of the IU operations team, the Facilities Services Vendor and Project Specialist works closely with the Supervisor of Facilities Services and the Facilities Services Specialist to procure and schedule services to ensure the efficient operation of our buildings, programs, events, and projects.

Essential Functions:

• Schedules Bucks IU staff, contractors or external vendors for maintenance and custodial tasks at all Bucks IU locations to include preventative maintenance, custodial, and special projects as assigned.

• Operates as the primary contact for all external vendors including identification of new vendors, scheduling work, inspecting, and evaluating vendor performance, and completion of closeout tasks at the completion of work.

• Assists Supervisor of Facilities Services and building administrators in staying updated on facilities work orders and issues, providing better customer service experience for all IU administrators and staff.

• Assists Supervisor of Facilities Services with special project coordination, to include attending meetings, following up with internal and external stakeholders, and identifying project risks to ensure on-time and on-budget completion of projects.

• Maintains and continually develops a manual of Standard Operating Procedures for maintaining the proper maintenance, cleanliness, and healthy environment of all IU facilities.

• Conducts routine and periodic inspections of schools and facilities to ensure that Bucks IU custodial and maintenance standards are being met.

• Maintains and continuously prioritizes list of present and future custodial and maintenance needs for each location.

• Updates the Facilities office calendar with respect to recurring maintenance schedules.

• Ensures that all routine preventative maintenance is scheduled and completed by Bucks IU staff, contractors or vendors at all Bucks IU locations.

• Assists with the implementation of computerized maintenance software for processing work orders and communication with IU and contracted staff.

• Follows policy and procedure of Bucks IU purchasing and business office functions.

• Assists Supervisor of Facilities Services in ensuring that all IU facilities are opened, closed, cleaned, maintained, secured, safe and operational daily.

• Facilitates maintenance and custodial inventory control activities.

• Assists with the maintenance and accessibility of all compliance records related to fire extinguisher and annual fire inspections, emergency lighting, etc. for the Fire Marshal and other government inspectors.

• Coordinates in-service training for maintenance, custodial and grounds personnel on new equipment, work methods and related safety topics.

• Works with other IU personnel to ensure the safety and welfare of all students, staff, and visitors, by ensuring all safety practices are upheld.

• Model professionalism and nondiscriminatory practices in an educational environment, supporting the philosophy, policies, and goals of the Bucks IU.

• Maintain knowledge of current issues and trends circulating within the Bucks IU and facilities maintenance / custodial industry.

• Communicate effectively in oral and written form, maintaining clear and organized files and records.

• Develop a positive rapport with students, parents, teachers, staff, alumni, and vendors.

The employee must frequently lift and/or move up to 35 pounds and occasionally lift and/or move up to 75 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Position Type/Expected Hours of Work: This is a full-time, 260-day calendar position. Days and hours of work are Monday through Friday. Hours of work are typically from 8:30 a.m. to 4:30 p.m. Hours are dependent on the needs of the IU and districts. Occasional early morning, evening and/or weekend work may be required as job duties demand.

Travel: Occasional Travel primarily within Bucks County

Qualifications

Education and Experience:

• High school diploma or GED equivalent required.

• Associates degree or equivalent preferred; or at least 7 years related experience in facility services, project coordination, maintenance or custodial.

• Industry specific certifications preferred.

Knowledge, Skills, and Abilities:

• Knowledge of skills and trades used in an educational environment.

• Knowledge of HVAC building management systems

• Understanding and working experience with facilities work order ticketing systems.

• Understanding and working experience with Integrated Pest Management practices.

• Working knowledge of custodial appearance levels and benchmarking.

• Proficiency in utilizing technology.

• Excellent organizational, project planning, and interpersonal communication skills.

• Excellent verbal and written communication skills.

• Ability to interact with individuals at all levels of the organization.

• Composure under stressful situations.

• CPR Certification and Blood Borne Pathogen Training is preferred.

Work Authorization/Security Clearance (if applicable): Citizenship or work authorization to work in the United States required.
