The Workplace & Facilities Administrator is responsible for assisting and supporting the day-to-day integrated facilities management and workplace services platform managed by Corporate Services. Provides broad support for the operational reliability and effectiveness of property services and building operating systems, workplace experience services, and operational and administrative practices aligned with preferred occupancy experience expectations.

MAJOR DUTIES AND RESPONSIBILITIES

  • Actively and consistently supports all efforts to simplify and enhance the customer experience
  • Assist in maintaining positive customer relations by supporting consistently responsive quality facility services
  • Supports the oversight of workplace and facilities contracted services, which may include maintenance, recurring facilities services, delivery of workplace experience services and ensuring service levels meet contracted specifications, regulatory requirements, and Charter guidelines and occupancy experience expectations
  • Supports customer occupancy experience requests via a helpdesk, work ticket, or similar workflow triage function; provide accurate data entry, verification, and coordination of requests, including needs evaluation, scope development, vendor engagement, and service trend analysis
  • Supports and manages vendor competitive bid and selection processes through use of standardized request for proposal and bid summary analysis
  • Acts as liaison between workplace and facilities service providers/vendors and Charter facilities management teams
  • Supports accounts payable processes in accordance with corporate guidelines
  • Provide oversight, support, and preparation of various workplace and facilities management performance dashboards and reports including - but not limited to - CSP/work ticket trending, WFM amenity or services trending, financial accrual and budget variance reports, and capex/opex forecasts
  • Supports or manages building life cycle replacement projects and/or facilities planning efforts including simple facility enhancement investments, physical layout and space allocation, small office moves, preparation of cost estimates for space allocations, coordination with departments/contractors for reconfigure space, furniture, and equipment
  • Maintain proper documentation of all project or initiative activity, including project design and/or statement of work documentation, business unit correspondence, contracts and related purchase orders, permits and certificates of occupancy
  • Administer all property documentation repositories which may include shared drives, SharePoint, or other databases as required; includes managing all documents and work items in accordance with company and business unit guidelines and governance policies
  • May assist with various assigned workplace experience services, may be inclusive of but not exclusive to meeting/conference and event management services and areas, and may assist in ensuring other workplace experience service offerings and amenities (such as food/beverage services, fitness centers and similar) are operating as intended and in alignment with employee experience objectives
  • Perform other duties as assigned


REQUIRED SKILLS/ABILITIES AND KNOWLEDGE

Required Skills/Abilities and Knowledge
  • Effective spatial skills with experience implementing workplace strategies and the ability to translate business requirements into space requirements for the business units
  • Intermediate knowledge of AutoCAD, CAFM/IWMS systems, Excel (V-Lookups, cell calculations, pivots, etc.), and PowerPoint (ability to consolidate data and floor plans into presentations)
  • Proven ability to problem solving and the desire to create/build processes
  • Demonstrated customer service skills and ability to interface with various levels of management and staff
  • Thrive in ambiguous situations amongst numerous cross-functional entities
  • Proven complex and creative problem solving
  • Stay up to-date on industry best practices
  • Ability to balance working independently and very collaboratively as part of a multi-functional team
  • Ability to analyze and interpret data
  • Ability to communicate orally and in writing in a clear and straightforward manner
  • Ability to handle multiple projects and tasks
  • Valid driver's license with satisfactory driving record within Company required standard

Required Education

Bachelor's degree in Business Administration or related field, or combination of education and experience

Experience within facilities or property management - 2

Preferred Related Work Experience and Number of Years

Experience in a corporate environment desired - 2

Quantitative or operational analysis experience desired - 2
