The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

Position Summary

Reporting to the Director, HR Compliance, the Background Check Analyst shares responsibilities for the day-to-day administration of the review and adjudication of background checks for administrative and support staff. The analyst will use independent judgment to handle issues and provide recommendations for hiring decisions. The incumbent provides guidance and excellent customer service to departments and schools across the Morningside and Manhattanville campuses.

The Background Check Analyst works closely with the Director, HR Compliance to ensure compliance with Columbia's policies, and New York City and State regulations and legislation regarding background checks. Additionally, they will also provide administrative support including the generation of reports and analytics as necessary.

Responsibilities

Administration of Columbia University Background Checks
  • Shares in the responsibility for the day-to-day management of background check process, ensuring that the services provided are efficient and responsive to client needs.
  • Monitors and adjudicates background check reports in a timely manner as set forth in the service level agreement.
  • Provides administrative support for compliance with New York City and state employment regulations and legislation regarding background checks of all kinds.
  • Delivers excellent and timely customer service to clients, provides daily updates and promptly resolves issues that may result in delays.
  • Maintains accurate documentation and records. Uses designated systems to record and/or update information regarding background checks.
  • Communicates with candidates to provide and obtain information and/or documentation required to complete background checks in a manner that contributes to a positive candidate experience.
  • Works with the vendor as necessary for all matters related to background checks.
  • Responds to questions, concerns, and needs regarding background check compliance.
  • Participates in office information management and communication.
  • Serves as backup to the HR Compliance Analysts.

Fair Chance Act Administration
  • Collects and organizes all requisite documentation from candidates for presentation to the University's Fair Chance Act Committee, ensuring completeness and accuracy in case documentation.
  • Prepares and distributes committee meeting agendas and necessary documentation.
  • Liaises with hiring departments to gather information for cases under consideration, including pertinent information about the role the candidates are being considered for.
  • Works with the Executive Director, Protection of Minors to conduct interviews of candidates and summarizes the information in accordance with established processes.
  • Prepares Pre-and Post- Adverse Notices with strong attention to detail, and ensures timely delivery to candidates.
  • Maintains ongoing communication with candidates, providing support and guidance as needed, and presenting supplementary documentation to the Committee when required.

Minimum Qualifications
  • Bachelor's degree and/or the equivalent.
  • Two years of related work experience required.
