Job Description

For planning, analyzing, and coordinating administrative, office operation as it relates to EPIC Scheduling and Template Management for the Network. Integrates, coordinates these programs, operations, functions and services intra-departmentally, inter-departmentally, other hospitals, Call Center and Central Office sectors to optimal levels of performance in the administration and supervision of such functional activities.
  • Provide professional and quality customer service to patients by following the policy and procedure for the department.
  • Assist in the proper handling of patients' protected health information to ensure HIPAA compliance; maintain tidy work area, provide clerical coverage as needed.
  • Open patient visits (Registration) via EPIC system or Kiosk.
  • Document and follow-up with reminder calls, no shows or cancel appointments.
  • Accept payments of cash, money orders, debit and credit cards. Issue payment receipts and completes reconciliation forms for daily submission.
  • Conduct patient interviews over the phone or in person to obtain identifying information, such as demographic, biographic and insurance status. Information is entered accurately into EPIC (Pre-Registration of patients).
  • Responsible for verifying insurance eligibility process (RTE) for correct demographics and insurance (commercial, managed care, etc).
  • Scan patient ID, insurance card(s), referral forms (if applicable) and consent forms obtained from the patient into the document imaging system.
  • Contacts outside agencies, organizations, insurance carriers, patients to obtain necessary information about insurance authorizations.
  • Answers telephones in a timely and professional manner; accurately record and transmit messages; locate doctors and nurses when needed utilizing EPIC chat or emails
  • Send and receive faxes; page personnel as requested or needed.
  • Works on/ maintain EPIC WQs including but not limited to authorizations, registration errors, referral WQs, etc.


Minimum Qualifications

  1. High School Diploma or GED; and
  2. Two (2) year of full time customer service experience; and
  3. Good Written and oral English communication skills; and
  4. Computer skills, including word processing, spreadsheet and/or database software programs


Department Preferences

  • Knowledge of EPIC EMR system and activities including but not limited to creating and managing Provider schedules for all type of services and procedures provided within the Ambulatory Care
  • Knowledge of templates, scheduling, opening and closing visits within the Ambulatory Care
  • Knowledge of Financial systems within the Ambulatory Care departments
  • Basic medical understanding of Ambulatory Care
  • Tour 2: 8:00am-4:00pm
