Johnson & Johnson is recruiting for an Executive Assistant, Transformation Office in Raritan, NJ or near a Johnson & Johnson office in India, Switzerland, Belgium, or the United States.

Per our J&J Flex Policy, the expectation for this position is to work in the nearest Johnson and Johnson office 3-4 days per week and work from home 1-2 days per week.

The Executive Administrative Assistant of Enterprise Quality reports to the VP Enterprise Quality. This position also supports the Leadership Team of the EQ S&S organization as well as some of their direct reports and may have indirect management responsibilities of a contractor.

This position is generally varied, including complex administrative duties and project-oriented assignments which require the use of sound judgment and discretion, independent assessment and resolution of complex situations/problems. Must have the ability to respond to shifting priorities.

• Duties will include but not limited to:

• Managing calendars, scheduling meetings, making complex domestic and international travel arrangements and managing expense reports.

• Managing eMp purchase orders for significant levels of investment for the organization which includes creating purchase orders for expense and capital budgets, reconciling outstanding and discrepancy invoices and tracking in the department budget.

• Scan mail for the executives and highlight items for review or action.

• Respond to routine correspondence under own signature or draft response for executive's review.

• Follows up on items delegated to others by executive. Screens calls and responds to complex inquiries from all levels of employees or external sources regarding a variety of questions.

• Coordinating updates to organizational documents, website updates, document review, or participate in planning functions.

• Must have ability to make last minute changes to calendar due to shifting priorities and exercise independent discretion and judgment.

• Must often make decisions without prior approval from assigned leaders.

• Excellent collaboration, organization and teamwork skills are required in order to coordinate with other administrative staff to accomplish departmental activities.

Qualifications

• A minimum of a High School diploma is required, college degree preferred or equivalent of at least 1 year of advanced Administrative education.

• 7 or more years of intermediate to advanced Administrative experience is required.

• Prior experience at the Executive Assistant level is preferred.

• Experience providing Administrative support to VP level (or above) with global responsibility is required.

• Experience coordinating with external customers preferred.

• Demonstrated proficiency in Microsoft Office programs (Word, Excel, PowerPoint, and Outlook) is required.

• Experience managing multiple complex calendars via Outlook is required.

• Experience working with eMp and CONCUR and other J&J systems as needed. Excellent verbal and written communications skills, with exceptional interpersonal skills are required.

• Sense of urgency required while maintaining a high degree of professionalism.

• The ability to multi-task, work with minimal supervision, and achieve results in a fast-paced environment is required. Strong organizational skills are required.

• Must be able to manage multiple priorities, maintain confidentiality, and operate with poise and professionalism in a complex, high-profile and rapidly changing environment.

• Flexibility to work occasional overtime when the need arises is strongly preferred.

• Demonstrated proficiency with productivity tools and portal technology, including MS Teams, ZOOM and SharePoint sites is required. Global Connect and Our Source preferred.

• Experience working in a global organization is preferred.

The base pay range for this position is $59,850 to $96,600.

  • Work, Personal and Family Time - up to 40 hours per calendar year
