Pay Range

$35.98 - $43.67 Hourly (405.4)

Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.

Job Description

We have multiple openings for Administrative Specialists to support the Operations and Business Principal Associate Directorate Office. You will work independently, perform a full range of moderately difficult secretarial and tasked administrative assignments in an expeditious environment with frequent interruptions and conflicting priorities. This position is in the Operations and Business (O&B) Principal Associate Directorate.

You will:
  • Represent management and serve as a resource in daily routine matters; serve as a resource on organizational procedures.
  • Gather information from multiple sources, compile data and prepare complex reports and presentations, create and maintain databases, spreadsheets, and tracking/filing systems.
  • Independently compose correspondence for signature.
  • Screen telephone calls, independently answer inquiries, make appropriate referrals, complete requests; process and disperse incoming mail.
  • Independently schedule appointments and maintain calendars.
  • Arrange travel and itineraries.
  • Support internal and external meetings/events; develop agendas, identify, and coordinate meeting attendees and presentation materials/event communications.
  • Recognize and support plans to promote and foster a culture of inclusion, diversity, equity, and accountability within the workplace.
  • Perform other duties as assigned.

Qualifications
  • Ability to obtain and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
  • Experience includes accurate keyboarding, editing, grammar, and proofreading skills, knowledge of office procedures, techniques, and methods.
  • Excellent in organization; including details and accuracy.
  • Experience working in an environment with altering priorities, deadlines, and frequent interruptions.
  • Excellent in communicating along with the soft skills necessary to work with a diverse workforce and represent us with all levels of management, internal and external to the Laboratory.
  • Ability to identify and make recommendations for administrative problems.
  • Demonstrated independence and mature judgment in handling business sensitive and classified information, and personnel interactions.
  • Significant experience in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, etc.) and other computer software and the capability to gain knowledge of new software.
  • May act as resource/primary contact on purchase orders, ordering equipment, software license renewals, etc.

Qualifications We Desire
  • Broad, institutional knowledge of the Laboratory, its programs, business operations, and policies and procedures; knowledge of external organizations.
