The University of Virginia Darden School of Business, one of the world's leading business schools, seeks a professional Academic Operations Assistant to support senior academic leadership.

This position primarily supports two Program Senior Associate Deans, providing confidential administrative and operational support. The successful candidate will apply strong and proactive organization skills to oversee integrated calendar management, project management, executive communications and global and domestic travel. The ability to communicate and work using a variety of technologies with a staff that may not always be physically co-located. This position interacts with school leaders and their administrative teams at Darden and the University of Virginia, as well as with external stakeholders, to ensure the highest strategic impact coordinating calendars, daily schedule and engagements. In addition to Program Senior Associate Deans, this position will also provide support to other academic administrative leaders, as needed.

This position is located in-person in Charlottesville, VA.

Responsibilities:
  • Strategically manages the calendar process to maximize impact that can include setting up meetings, being responsive to meeting requests, prioritizing requests, and maintaining time on calendar for project work and time sensitive matters.
  • Manages workflows and engagement with Darden Enterprise departments to ensure timely management of priorities, follow-through and processes supporting the Senior Associate Deans.
  • Prepares agendas for meetings and appropriate follow-up, organizes and designs management/tracking systems of key initiatives.
  • Ensures high-impact executive communications, assisting with presentations and reports and managing e-mail and email responsiveness.
  • Maintains awareness of administrative tasks requiring attention. Helps set priorities around conflicting requests and provides reminders for timely follow through.
  • Manages the flow of meeting requests, review of impact, and necessary scheduling for the Senior Associate Deans.
  • Coordinates and handles all travel arrangements for the Senior Associate Deans as requested. Processes travel reimbursements and expenses.
  • Keeps Senior Associate Deans advised of events and issues as appropriate.
  • Ensures there is scheduled time each day to allow the senior associate deans to be proactive, answer emails, spontaneously interact with stakeholders, and solve problems.
  • Establishes and maintains a tracking/reporting process for all ongoing projects and tasks.
Required Education and Experience:
  • High school diploma and four years of relevant experience required. Bachelor's degree is strongly preferred and may substitute for years of experience. At least three years of experience supporting a senior executive preferred.
  • Ability to work collaboratively and effectively as part of a senior leadership team characterized by trust, open communication and mission.
  • Ability to work under tight deadlines and to demonstrate grace under pressure.
  • Trustworthy and demonstrates strong integrity and sound judgment, including ability to exercise appropriate discretion when dealing with sensitive or confidential issues.
  • Excellent oral and written communication skills. Speaks and writes in a succinct and positive manner.
  • Ability to work independently with minimal supervision.
  • Strong organizational skills with the demonstrated ability to manage multiple tasks and priorities efficiently, with a strong attention to detail and a proven track record of meeting deadlines.
  • Fast learner, proactive and oriented toward finding solutions.
  • Must possess strong interpersonal and public relations skills with sound judgment, tact, and a professional manner in dealing with a diverse constituency.
  • Ability to handle many projects simultaneously while working in a high-level environment in which there are requirements for immediate turn-around of information.
  • Flexibility and tolerance for ambiguity. Able to be responsive outside normal working hours if needed.
  • Proficiency in the Microsoft Office suite of applications, including Word, Excel, and PowerPoint.
