Job Summary and Qualifications

This position requires a highly organized and detail-oriented individual to serve as Lead in the Academic Support & Development area. This position will supervise the Virtual Registrar Support Specialists and provide coverage and support for new campuses. Support would be provided until the campus registrar is retained and fully trained. This position would then work with the new registrar and provide support until they have a fully functioning team. They would also act as a resource to provide supplemental support to any active campus during times when OAR positions are vacant, or temporarily open such as for leaves of absence or PTO.

Responsibilities:

1. Provide quality student service which says to students, "I Care" and demonstrates the College's commitment to thoughtful, equitable treatment of all students in the areas of registration and academic records, and to insure the confidentiality and accuracy of student records.

  • Assure the integrity, security, and accuracy of student academic records, maintaining accurate student records as it pertains to student statuses, graduation dates, grades, attendance and student disciplinary actions or advisement.
  • Verify that students have met all enrollment/admission requirements inclusive of background checks and drug screens.
  • Provide timely notification to students of changes to their status with the college - probation, dismissals, etc.
  • Coordinate work and assist other functional campus teams to meet the needs of students.
  • Contact and/or meet with students on a routine basis regarding attendance, performance and progression in the program, documenting all student interactions.
  • Provide support and assistance to other campus personnel as needed.
  • Registration Assistance which includes verifying all pre-requisite/co-requisite rules are met. Registering students who are repeating.
  • Assist students with all questions and issues.
  • Assist students with schedule adjustments during Add/Drop week or at other times in the term as needed (advising student to impact of choices being made - completion and financial aid).
  • Monitor clinical compliance, contacting students who are non-compliant and working with them to get all required documentation in hand so they can participate in clinical courses.

2. Provide professional assistance and support to the Academic Leadership of the campus.

  • Coordinate work with the Student Success personnel to assure that students are receiving the assistance and resources needed to be successful.
  • Relay information, comments/complaints received from the students so the campus may address situations as they arise.
  • Assist faculty and staff as needed with Student Information System.

3. Assure compliance with all policies and procedures as outlined the Student Catalog, Faculty Handbook, and the College Policy & Procedure Manual, at the campus-level.

  • Provide information on policies and procedures to students and staff when requested.
  • Work with students and the Director(s) of Clinical Education to ensure compliance with both Galen and affiliate requirements for participation


4. All other duties as assigned.

Collaboration and Communication:
    • Work effectively with the Virtual Registrar and all campus personnel
    • Communicate clearly and concisely with Campus Leadership regarding policies, procedures, and updates.

    Preferred Qualifications:
  • 1-3 years' experience utilizing a Student Information System.
  • Strong Microsoft Excel Skills Preferred.


  • Extreme attention to detail.

  • Qualifications:
    • Associate degree or a minimum of 3-5 years of experience in higher education
    • Experience in providing training and supervising staff.
    • Excellent communication and written skills.
    • Ability to work independently and as part of a team.
    • Proficient in Microsoft Office Suite and student information systems.
    • Understanding of and commitment to compliance with federal and state regulations governing student records
