The Defense Sciences Office (DSO) at DARPA is seeking a highly motivated and skilled candidate for the position of Action Officer for the DSO Office Director. The action officer is the primary administrative support individual for the DSO Office Director (OD). The Action Officer will collaborate closely with the DSO front office management team, including the DSO lead technical support team and administrative staff, to ensure the effective functioning of the DSO Front Office.

Responsibilities:

Support of DSO Office Leadership:
• Ensure all tasks for the Director are accurately identified, tracked, and completed
• Coordinate with the Executive Assistant (EA) to ensure calendar priorities are met and the tasks are scheduled and completed.
• Coordinate with the DSO Deputy Director action officer.
• Organize ad hoc internal events in support of office and leadership initiatives.
• Oversee the collation and review of briefing materials, ensuring that all necessary information is gathered, complete, and distributed at least day prior to all meetings.

Support of DSO Strategy and Program Development
• Assist in coordinating the annual DSO strategy and POM briefings.
• Assist in coordinating DSO office and agency level program reviews.
• Assist in coordinating DSO's contribution to the annual DARPA staffer briefs.

Technical and Administrative Management of Office Operations:
• Assist in managing staff meetings, ensuring agendas are prepared, relevant materials are collected, and follow-up actions are tracked.
• Prepare agenda and materials for meeting with Agency leadership.
• Stewardship of the DSO Sharepoint Site.

Management of External Requests:
• Oversee preparation of responses to requests for information from various sources such as the Department of Defense (DoD), Interagency partners, and external entities.

• Manage suspense (due dates) and prioritization of tasks to ensure timely and accurate responses.
Additional Responsibilities:
Liaison and Coordination:
• Represent the Office in periodic Agency action officer meeting.
• Act as a liaison between the Office Director/Deputy Director and internal/external stakeholders.
• Ensure effective communication and information flow within the office and with external partners.
• Facilitate coordination among DSO staff and other DARPA offices to ensure alignment on priorities and objectives.
Administrative Management:
• Assist in the planning, execution, and monitoring of special projects as directed by the Office Director/Deputy Director.
• Provide logistical and administrative support for DSO initiatives and events.

Requirements:

Education:
• Minimum of a bachelor's degree
• Familiarity with Office 365 preferred
Experience and Skills:
• Experience working on Research and Development (R&D) or Science and Technology (S&T) portfolios.
• Exceptional team player with excellent verbal and written communication skills.
• Ability to multi-task and reprioritize continuously in a fast-paced environment.
• Exceptional proficiency in Microsoft office
• Use of communication and knowledge management tools such as tools in M365 suite, etc.
