The Department of Internal Medicine is the largest department within the Medical School at the University of Michigan with 13 divisions and over 1000 affiliated faculty. The Office of the Chair supports the Chair, 9 Vice Chairs, 4 Assistant Vice Chairs and Chief Administrative Officer (CAO). Our Departmental Office is the hub for all these key leadership positions and work.

Responsibilities*

The Office of the Chair for the Department of Internal Medicine is currently seeking a full-time administrative professional who will provide comprehensive administrative support for departmental leaders in need of high-level administrative support for departmental level activity. The Office will work in way that utilizes whatever professional resource is available and equipped to handle the specific responsibility for any or all of the above outlined leaders.

Specific duties and responsibilities are outlined below and not limited to:
  • Administratively coordinate various responsibilities, activities and events partnering with the other administrative professionals to ensure comprehensive coverage for all departmental needs initiated in the Departmental Office.
    • Complex calendaring; clinic closings, special service schedules.
    • Support leaders with reports/presentations at the direction of departmental leaders.
    • Draft written correspondence for review and editing by departmental leaders including compliance needs, meeting materials, agendas and meeting action steps.
    • Provide ad hoc project and/or event support as requested by departmental leaders working closely with others in the departmental office.
    • Coordinate travel arrangements and reimbursements when needed.
    • Initiate and process on-line non-PO vouchers, cash receipts, hosting reports, etc.
    • Order supplies and other materials as needed.
    • CV/other research and professional profile management
    • On-site hybrid meeting support:
    • Participate in various committees as needed in support of departmental leaders.
  • Work with other departments, divisions, and organizations as needed to execute the given responsibility.
  • Responsible for any other duties as assigned.

Required Qualifications*
  • Bachelor's degree in business or related field or associate degree with 3 - 5 years of administrative experience or five years of progressively complex administrative assistant experience.
  • Proficiency in the use of computers and software including Microsoft Office products (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written interpersonal skills.
  • Skilled in organization and attention to details.
  • Keen focus and priority on customer service.
  • Demonstrated ability to handle multiple items simultaneously and produce high-quality work in a timely, accurate and efficient manner.
  • Experience in handling items of a confidential nature efficiently and professionally.
  • Ability to work in a team environment and build trust with colleagues while working independently and self-initiated.

Desired Qualifications*
  • Knowledge of University and Department of Internal Medicine policies, procedures and regulations.
  • Knowledge of University systems including Concur, End Note, M-Pathways, with the ability to write and run queries.
  • Experience providing support to senior level faculty and/or department administrators.
  • Lean training and involvement in continuous process improvement projects.

Work Schedule

This position is hybrid and full time requiring 40 hours per week.

Background Screening
