Purpose of Position
Provides administrative support to the Cape Cod Hospital Clinical Resource Department.

Description
Essential duties include the following. Other duties may be assigned.
1. Performs all work with the utmost discretion, maintaining the confidentiality of all communications with the Executive Director of Clinical Resources, and the confidentiality of all issues, subjects and documents within the Department.
  1. Establishes and maintains an effective customer-service focused working relationship with all individuals in contact with the Clinical Resource Department
  2. Assists with coordinating P2P calls by established process as requested by the Manager of Appeals and Denials
  3. Coordinates appointments, schedules meetings and arranges meeting locations for the Clinical Resource Department sends notices of meetings and prepares materials for same. Completed meeting minutes in a timely manner
  4. Answering and triaging main phone and fax number.
  5. Copies and faxes materials as requested, obtains, correlates and processes information and reports as required by the Case Management team. Develops and maintains an ongoing directory of all resources essential for discharge including, but not limited to: Nursing homes (all levels), rehabilitation hospitals, chronic care hospitals, shelters, respites, other extended care facilities, day programs, home health services (tertiary, secondary, non-profit, for profit, etc.), durable medical equipment services, community agencies/services, emergency response systems, transportation services, entitlement programs, etc.
  6. Maintain adequate quantity of forms, materials and supplies within the department and insures the hospital swing office is well stocked
  7. Maintains an up to date working knowledge of Microsoft, Epic and Office
  8. Maintains orientation manual and policy and procedures manual.
  9. Assists with creation and maintenance of the Clinical Resource Department patient material brochure and department newsletter
  10. Maintains the department shared drive and share point program
  11. Assist and maintain databases, graphs, and aggregate data as needed to support Clinical Resource department projects and Performance Improvement efforts.
  12. Prepare and report data, as requested, to appropriate departments and/or individuals
  13. Assist in preparation and follow-up of Departmental Accreditation and Regulatory Surveys.
  14. Performs other work-related duties as assigned or requested.
  15. Enter Denials into the SSI system
  16. Consistently provides service excellence to all patients, family members, visitors, volunteers and co-workers.


Qualifications
  • Excellent writing, organization, phone, multitasking and communication skills.
  • High School diploma or GED
  • Associates or bachelor's degree preferred
  • Read, write and communicates in English
  • Minimum 2 years' experience in a health care system in an administrative role with experience working with reports and electronic health record systems.
  • Must be proficient in the full range of Microsoft Office products with particular emphasis in Outlook, Word, Excel and PowerPoint.
  • Ability to work in a fast-paced environment
  • Strong attention to detail.
  • Experience taking meeting minutes preferred.
  • Ability to work independently and take initiative.
