Job Summary

The Gerald R. Ford School of Public Policy is looking for an organized and proactive person to serve as our Administrative Assistant to support our work on the Democracy, Civic Empowerment, and Global Engagement (DCEGE) Presidential Initiative for two years. You will provide administrative, programmatic, and grant support for the initiative and its team. We are especially interested if you have grants administration experience to support event planning and logistics, support our Faculty & Staff Advisory Board, and support the small and larger grants program by coordinating with appropriate financial and budget specialists.

You will be a part of the Democracy, Civic Empowerment, and Global Engagement team and will report to the Strategic Consultant for Democratic Engagement.

Responsibilities*

  • Comprehensive administrative support, including scheduling, managing reimbursements for travel and purchase card reconciliations, and making travel arrangements for DCEGE staff, speakers, faculty, and students.
  • Help administer the initiative's grant program, including processing payments to grant awardees across campus.
  • In collaboration with faculty and staff from multiple U-M schools and external community partners, plan and manage events and meetings.
  • Provide hands-on event support and overall coordination of event logistics, including preparing invitations, tracking RSVPs and registrations, room reservations, travel and lodging arrangements, agendas, meeting materials and packets, promotional materials, meals and refreshments, audio/visual solution coordination, expense reimbursements, meeting minutes and documentation.
  • Contribute ideas to and support the initiative's evolving communication strategy, including working with our communications specialist to update our website and other communication channels.
  • Provide administrative support for our grants and funding programs projects within U-M and related partners.

Required Qualifications*

  • High school diploma or an equivalent combination of education and experience
  • 3+ years of high-level administrative support experience
  • Demonstrated editing, proof-reading, and writing experience
  • Proficiency in office software and technology, such as MS Office, Google Suite, and Zoom
  • A passion for democracy and civic engagement.
