Normal Work Schedule: Monday - Friday 8:00am to 4:45pm; occasional nights and weekends.
Job Summary: The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary: Performs confidential, administrative duties for four (4) Assistant and Associate Deans, and when required, for the Dean, with some variety and complexity. Uses discretion and independent judgment to handle day to day operations. Interacts with faculty, staff, student and parents. Arranges all Assistant and Associate Deans' travel, meetings, itineraries, and agendas, compile data, prepare reports and financial forms. Assists the Office of Research. Maintains effective communication among CHES, UA, and all community and education stakeholders. Maintains alumni relations for CHES, as well as working with special events. Partners with events team in events targeted for donors, alumni, and benefactor events.
Required Minimum Qualifications: High school diploma or GED and two (2) years of administrative experience; OR associate's degree or higher.
Skills and Knowledge: Ability to organize, prioritize, and perform multiple activities with limited supervision while maintaining confidentiality. Ability to communicate effectively. Ability to exercise good judgement. Attentive and detail oriented. Ability to multi-task. Quick learner, very responsible and a team player that takes initiative. Knowledge of various computer software packages including Microsoft Word, Excel, Outlook, and PowerPoint.
Preferred Qualifications: Experience with Banner, Argos, CONCUR, buyBAMA, Digital Measures, and/or other UA software programs.
