DESCRIPTION

Responsible for the administration and organization of the Burn Director's office, Burn Program Manger's office and the Burn Child Life Program. Provide administrative support to four faculty of the division. Coordinate and execute projects, manage complex calendar and meeting activities. Assist Burn Program Manager and Child Life Program with special events for burn survivors. Serve as liaison with constituents on behalf of the Burn Director. Responsible for the quality assurance of the Burn Center Morbidity and Mortality Reports. Schedule outside rotators in Burn Surgery and Clinic. Schedule patients for burn laser procedures. Prepare monthly burn on-call schedules. Receive and screen all calls and facsimiles. Take meeting minutes and compose, type, and proofread general and patient correspondence on computer. Maintain and produce academic review and merit file. Coordinate burn fellowship program. Prepare purchasing/accounting forms and communicate with vendors. Prepare timekeeping for monthly and biweekly employees.

MINIMUM QUALIFICATIONS
  • Three years recent administrative experience in a healthcare environment or similar setting to include supporting a high level director/executive.
  • Demonstrated excellence in customer service and interpersonal communication skills.
  • Possess effective time management skills.
  • Proficient with MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Highly detail-oriented.
  • Must possess the ability to work effectively and equitably with others.
PREFERRED QUALIFICATIONS
  • Knowledge of purchasing policies and procedures of the University and Knowledge of UCSD and Medical Center policies and procedures.
  • Knowledge of UCSD travel procedures. Ability to use libraries and other resource facilities.
  • Knowledge of basic bookkeeping and accounting procedures.
  • Knowledge of medical terminology. General knowledge of UCSD departments at the hospital and campus, and their locations. Knowledge of scientific publication process.
  • Knowledge of Epic and CWP.
  • Knowledge of EcoTime and UC timekeeping policies and procedures.
SPECIAL CONDITIONS
  • Must be able to work various hours and locations (including weekends and evenings) based on business needs.
  • Employment is subject to a criminal background check and pre-employment physical.
Pay Transparency Act

Annual Full Pay Range: $40,700 - $81,850 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $39.20

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.
