Job Summary This position is expected to work independently and exercise independence in all administrative duties for the Department of Radiation Oncology. The position must manage, coordinate, interpret and recommend courses of action in support of the department's mission and objectives. Under the direction of the chair and the chief administrative officer (CAO), this position is responsible for the prioritization and management of all activities associated with the following: academic personnel actions; human resources; leadership support (chair and CAO) as well as serve as a key member of the administrative team, supporting the strategic mission and vision of the department. The position is expected to research, analyze and compile necessary background information to assist leadership in responding to complex issues; respond to inquiries and initiate correspondence from UC Davis Health leadership, colleagues and peers; assume responsibility and independently resolve/report any situations as appropriate.

The position is also responsible for global initiatives such as safety and morale building events, and serve as a resource for student education courses and serve in a back-up capacity for other human resources needs, including tracking databases (flu, TB, and mask fit); job requisitions and interviews. This position will also provide human resources support with academic personnel actions in the Department of Radiology, School of Medicine and provide administrative assistant support for the CAO, Department of Radiology. The position may also serve in a back-up capacity for other positions in the department as appropriate.

Minimum Qualifications
  • Demonstrate professional oral communication skills, tact and diplomacy, and ability to maintain composure in dealing with faculty, administrative staff, patients, and the general public.
  • Ability to convey instructions, directions and information appropriately. Ability to analyze needs, determine action, and initiate proactive follow-up.
  • Demonstrate skills to elicit information needed to clarify inquiries and requests; and professional skills lo handle sensitive or difficult situations diplomatically, work effectively and sensitively with constituents from diverse cultural backgrounds and perspectives, and maintain confidentiality of personnel clinical or other sensitive issues/matters.
  • Demonstrated professional writing, editing and proofreading skills lo quickly and accurately produce correspondence and other written materials.
  • Knowledge of human resources and payroll university policies and procedures.
  • Excellent organization and analytical skills to manage responsibilities successfully, including: manage calendars, schedules, and multiple projects simultaneously.
  • Demonstrated high level of initiative and maturity to work independently without supervision, exercising excellent judgment and decision-making ability, and resolve conflicts.
  • Knowledge of PubMed, MedLine, Recruit, Physician Links and Lightning Bolt.
  • Ability to use computer programs to effectively perform job duties: Outlook, Word, Excel, PowerPoint, Access, Qualitrics, Recruit.
Preferred Qualifications
  • Knowledge of human resource systems, such as LMS, EcoTime, PeopleAdmin, AggieService and UC Path.
  • Knowledge and ability to apply UC Davis Health policy and procedures and medical staff office guidelines to process medical staff appointments, reappointments, licensure and GME documentation, and proctoring.
