JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 provides administrative support to the residents in the Department of Medicine which includes internal medicine residents, transitional year residents, and neurology residents.
DUTIES AND RESPONSIBILITIES:
- Assists in the development of evaluations for use by residents, faculty, and nursing staff.
- Assists with curriculum descriptions and updates into MedHub.
- Coordinates communication between departments, and divisions regarding resident recruitment, orientation, annual program Affiliation Agreements, and external rotations.
- Schedules applicant interviews, makes gift bags for applicants, escorts applicants to scheduled interviewers.
- Assists in preparation for CLER/ACGME site visits and internal reviews by providing any information requested and scheduling appropriate resident and faculty representation.
- Arranges meetings and conferences, schedules interviews and appointments, and performs other duties related to maintaining one or more individual schedules.
- Orders, stocks, and distributes office supplies.
- Proctors yearly In-Training Exam in Internal Medicine including registration, setup/reserve computer lab, and notification of affected rotations during the test.
- Troubleshoots issues, communicates with hospital representatives, residents, and representatives regarding issues being experienced, and monitors issues to ensure appropriate and timely resolution.
- Schedules medicine rotations and ambulatory medicine rotations.
- Performs other related duties as assigned.
Qualifications:
MINIMUM REQUIREMENTS:
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Two (2) years of work experience in a medical office.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Strong organizational and customer service skills.
- Ability to maintain keen attention to details.
- Ability and willingness to learn new skills.
- Knowledge of and skilled in the use of Microsoft Word, Excel, and PowerPoint.
WORK SCHEDULE: This position may occasionally be required to work evenings and weekends.
