The Department of Student Affairs in the School of Nursing at West Virginia University is currently accepting applications for a (Hybrid) Administrative Associate.

About the Opportunity

The Administrative Associate will collaborate with the Director of the BSN program to aid in management with administrative tasks of tracking and compiling information to ensure traditional and ABSN students at all our campuses meet school of nursing requirements and students with clinical and leadership opportunities are compliant to learn within the WVUH system. To assess compliance, the person will use PreCheck, Sentry, and Workday programs and maintain communication with students. They will also work within the Office of Student Services, ensuring graduation applications are properly processed, RN licensure processes are completed, student lockers are assigned on a semester/yearly basis and the main phone line is monitored. Our ideal candidate will have good communication and problem-solving skills. The candidate's responsibilities will include, but are not limited to, completing data entry, tracking and compiling information of interest, handling confidential information, organizing file systems, and communicating with students.

What you'll do:

  • Assist with onboarding students.
  • Upload, maintain, track, and terminate students and faculty in the WVUH Workday Program.
  • Monitor Precheck (Background check and Urine Drug Screens) Program.
  • Track student compliance in SentryMD (Health requirement tracker) Program.
  • Serve as the second School Point Person (SPP) for WVUH.
  • Schedule and proctor exams for students with accommodations.
  • Monitor Morgantown traditional and ABSN students' community service hours in iServe.
  • Support the SOAR Peer Coaching Program.
  • Support the development, implementation, maintenance, and evaluation of the Resilience Center.
  • Coordinate graduation application process and RN licensing process.
  • Answer phones and greet people in reception area.
  • Assign student lockers and maintain locker list of 600 lockers


Pay Grade: 14

Qualifications

Qualifications:

  • Associate degree in office administration or related field, or an equivalent combination of education and experience.
  • A minimum of two (2) years of combined experience involving:
    • Office Administration
    • Management/Supervisory
    • Budget Management
    • Computer skills
    • Working knowledge multiple database platforms


Knowledge, Skills, Abilities:

  • Excellent organizational skills required to coordinate and organize a variety of complex projects at one time.
  • Demonstrated strong managerial and personnel skills.
  • Excellent oral and written communication skills are required.
  • Thorough knowledge of correct English grammar, usage, and language skills.
  • Thorough knowledge of various software packages (Microsoft Office; Word, Excel, PowerPoint, Outlook etc.), and the ability to rapidly adapt to upgrades as they occur.
  • Ability to work independently, use discretion, and have the ability to learn the policies and procedures quickly.
  • Display excellent interpersonal communication skills (e.g. friendly, cooperative, and professional attitude).
  • Ability to maintain proper unit attendance and punctuality standards.
